Job Description

Human Capital Management & Payroll Administrator Solebury School 6832 Phillips Mill Road, New Hope, PA 18938 Solebury School (New Hope, PA) seeks a qualified Human Capital Management & Payroll Administrator. This role is responsible for utilizing the human capital information system (HCIS) to maintain employment data, employee records, help administer employee benefits, and complete bi-weekly payroll. Additional responsibilities include ensuring compliance and record-keeping for all personnel requirements and across School systems, processes, and other needs, while providing support to the Director of Human Resources in various functions across the employment lifecycle. The position will start on or around August 4, 2025. Since its founding in 1925, Solebury School has been a leader in progressive education. Essential Functions:
HCIS Management:

Maintain and utilize the School’s human capital information system (iSolved) Ensure the integrity of all payroll, employment, benefits, and compliance data and documentation, keeping all systems updated to stay current Ensure easy access to data, job descriptions, information, and documentation for employees (personal data), managers (staff data), and senior leadership Produce and develop standardized reports as required by the

Director of Finance Payroll Administration:

Process bi-weekly payroll and maintain annual compensation information- in partnership with Finance Oversee time clock functionality and usage in the payroll system Serve as liaison to School employees for the payroll system, including administering paid time off, benefits, direct deposit forms, and tax elections Prepare W-2s, then send them out correctly and on time Update salaries and benefits annually and as necessary Input data for annual surveys as needed (PAISBOA, NBOA, PAIS, DASL, etc.). Human Resources Support Guide new employees through the pre-employment processes, with timely and professional communication with candidates, while ensuring completion of all compliance requirements and maintaining appropriate records Coordinate all onboarding and offboarding processes Ensure compliance requirements for every employee are up-to-date Support the benefits administration process by maintaining a working knowledge of the school’s benefit plans; assist in the open enrollment process and with employee questions Prepare for and administer employee leaves in accordance with the FMLA process Assist in planned and ad hoc HR projects, e.g., collection of employee feedback, support of employee-centered events, ACA reporting, production of 1095s, audit support, etc. Support the Director of Human Resources in responding to internal and external HR-related inquiries or requests as needed Assist in the preparation of annual salary increase letters Coordinate in-house trainings Other duties/functions as assigned Participate in the residential life program, with one weekend of duty annually

Minimum Qualifications:

Knowledge of and experience working with HCIS/Payroll system experience preferred Ability to communicate effectively orally and in writing Strong interpersonal and teamwork skills; providing friendly and responsive service to all employees in a service-oriented manner Familiar with office applications and software (Google Forms, Microsoft Excel/Word, Mail Merge, etc.) Ability to manage multiple projects and meet deadlines Excellent organizational and time-management skills Ability to work with a varied and diverse array of people Familiarity with background check providers and the School environment is desirable, but not required

Physical Requirements and Work Environment:

Work primarily in a typical interior office environment Sit for long periods with daily use of a computer screen Do tasks involving repetitive arm and hand movements Able to lift files, open filing cabinets, and bend as necessary Able to lift and/or move up to 10 pounds The work environment characteristics described here are representative of those an employee may encounter while performing the essential functions of this job.
