Job Description

SUMMARY:

The payroll specialist is the primary employee responsible for implementing the payroll activities of the school district. Coordinates activities of workers engaged in recording hours of work, processing time records, compiling payroll statistics, maintaining payroll control records, and calculating payrolls by performing the following duties.

ESSENTIAL

DUTIES & RESPONSIBILITIES

Works with the Business/HR system to prepare payment for all district employees including permanent staff, substitute staff, extra duty staff and all other ancillary programs.
Processes pay according to district policy.
Compiles and prepares other payroll data such as pension, insurance, and credit union payments. Reviews and approves payroll deductions.
Prepares government reports.
Reviews payroll to ensure accuracy.
Determines work procedures and expedites workflow.
Issues written and oral instructions to staff about payroll operations.
Examines work for exactness, neatness, and conformance to policies and procedures.
Studies and standardizes procedures to improve efficiency.
Adjusts errors and complaints in a timely and courteous manner.
Performs all other duties which may be temporarily assigned by the supervisor.
Coordinates closely with the Human Resources office on various payroll transactions.

EDUCATION AND/OR EXPERIENCE

High School Graduate or equivalent.
At least one year of payroll experience in a school district.
Four years of related experience working with a large payroll system.
Strong interpersonal skills to collaborate, partner and problem solve with numerous and various stakeholders.

QUALIFICATIONS

Ability to work with payroll applications of mathematical concepts.
Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
Strong interpersonal skills to collaborate, partner and problem solve with numerous and various stakeholders.
Must have excellent public relation communication skills and interpersonal skills; a customer service orientation is necessary.
Must have the ability to learn and utilize new computer software programs as systems are upgraded.
Must have excellent keyboarding and stenography skills and/or transcription experience.
Must be able to keyboard at an excellent pace with excellent accuracy.
Must have the ability to understand and apply knowledge of current practices in a specific field.
Must be able to handle multiple tasks commingled, so that priority task completion is timely and accurate.

EXPECTED HOURS OF WORK

This is a full-time, 261-day calendar position. Days and hours of work are Monday through Friday. Hours of work are based on the location assignment and are dependent on the needs of the program.

REQUIRED PAPERWORK

In order to begin employment in any PA public school, all employees are required to complete mandatory paperwork. Background employment clearances must be completed within the last year to be valid and include:

Some additional paperwork includes Arrest/Conviction Report form, PA Sexual Misconduct/Abuse Disclosure (Act 168), physician’s health form and recently completed TB test.
