Payroll Specialist Job Summary:

We are seeking a detail-oriented and experienced Payroll Specialist to oversee the processing and management of payroll for employees across multiple states and remote workers. This role will require a strong understanding of multi-state and local tax regulations, timekeeping systems, and managing complex earnings (e.g., bonuses, on call, overtime, etc.). The ideal candidate will be highly organized, work closely with Human Resources, have a deep understanding of payroll systems, and ensure compliance with applicable laws and regulations.

Mon-Fri, 8a-4:30p

Key Responsibilities:
Process Multi-State Payroll:

Administer payroll for employees in various states and remote locations, ensuring compliance with state and local tax regulations, including wage and hour laws.

Tax Compliance:

Review 3rd party tax filings (e.g., state unemployment insurance, local taxes), ensuring accuracy and on-time payments.

Timekeeping Management:

Oversee timekeeping systems, ensuring that hours worked, multiple holiday calculations, shift differentials, and overtime are accurately recorded and comply with company policies and federal/state laws.

Complex Earnings Management:

Handle various types of earnings, including bonuses, on call, shift differentials, overtime pay, and other non-regular pay types. Ensure correct tax withholding and proper categorization of earnings.

Data Entry & Accuracy:

Maintain accurate payroll records for all employees, inputting changes as needed, retro adjustments, and other relevant data. Verify data accuracy through regular audits.

Employee Support:

Address employee payroll inquiries, resolving any issues related to pay discrepancies, deductions, or tax withholdings. Provide HR with guidance on payroll-related issues or concerns regarding employee compensation.

Continuous Improvement:

Suggest and implement improvements to streamline payroll processes and enhance collaboration with HR. Stay updated on changes to payroll-related laws and regulations, ensuring that the company remains in compliance.

Payroll Reporting:

Prepare and submit periodic reports, including earnings statements, tax liabilities, and wage garnishments.

Ad-Hoc Projects:

Assist with special payroll projects, year-end reporting, and the implementation of new payroll-related processes or systems.

Qualifications:
Education & Experience:

Associate’s degree in Accounting, Business, or related field (preferred).
3+ years of experience in payroll processing, preferably in multi-state environments.
Knowledge of multi-state/local tax regulations and compliance.
Experience with complex payroll systems, timekeeping software, and payroll processing, specifically Workday.

Skills:

Strong understanding of federal, state, and local payroll taxes.
Excellent attention to detail and organizational skills.
Strong knowledge of overtime rules, wage laws, and other regulatory requirements.
Ability to handle confidential information with integrity and discretion.
Excellent communication and problem-solving skills.
Ability to prioritize tasks and meet strict deadlines.
