Full Job Description Key Responsibilities:

Financial Counseling & Patient Communication Conduct initial and follow-up financial consultations for new and returning patients. Clearly explain treatment costs, insurance coverage, and patient financial obligations. Provide personalized estimates for fertility services and review payment expectations. Collect and post payments before treatment begins and maintain detailed documentation in the EMR. Answer patient inquiries regarding billing, coverage, cycle fees, and payment plans. Insurance Verification & Authorizations Verify insurance benefits and confirm coverage prior to appointments and procedures. Determine and obtain referrals, pre-authorizations, and pre-certifications as required. Resolve coverage discrepancies and maintain accurate insurance documentation in the patient record. Collaborate with clinical and scheduling teams to ensure all authorizations are secured before procedures. Patient Financing & Loan Support Assist patients with exploring financing options for treatment-related costs. Present third-party financing programs, multi-cycle packages, and payment plan options. Guide patients through loan application processes and provide necessary documentation. Act as liaison between patients and third-party financing providers to ensure timely processing. Track loan approvals and payment statuses; confirm funding is in place prior to treatment. Maintain accurate logs and EMR documentation related to financing communications and approvals. Collaboration & Support Work cross-functionally with physicians, nurses, billing teams, and patient care coordinators. Inform clinical staff when a patient is financially cleared to begin treatment. Advocate for patients throughout their journey, offering guidance and clarity on financial matters. Participate in ongoing training and team meetings to improve financial counseling workflows.

Qualifications:

High School Diploma required; Associate’s or Bachelor’s Degree preferred. 2-4 years of healthcare office or medical billing experience, ideally in fertility or OB/GYN. Knowledge of CPT/ICD coding, insurance billing, and benefit structures. Familiarity with EMR systems and Microsoft Office (Word, Excel, Outlook). Experience assisting patients with financing, including loan applications, preferred. Excellent communication, organization, and problem-solving skills.
