Overview:
We are seeking an Executive-level Legal Secretary (experience/familiarity with paralegal work is a plus) who is highly motivated and has the ability to work independently and can prioritize work proficiently and effectively in a timely manner. The position entails providing daily hands-on assistance and support to two of the Firm’s high-level International Tax Partners. The candidate must possess strong organizational and multi-tasking skills, attention to detail, good judgment, strong interpersonal communication and time management skills, including the ability to work harmoniously and effectively with all levels of internal management and staff as part of a team. International Tax Department Secretarial Duties and Responsibilities:
This position handles various tasks related to international tax matters, including but not limited to: Day to day communications with clients, professional contacts, family offices and other service providers associated with the industry; Receive, screen and transfer telephone calls and relay telephone messages; Maintain calendars, coordinate and schedule meetings, conferences, teleconferences and video conferences; Support visiting lawyers/clients; Detail to maintaining paperless client files organized and up-to-date on a daily basis; Maintain and update client/matter lists, Outlook contacts, mailing lists, and assignments; Assist in finalizing multi-element client projects; Assist in drafting written communications, legal documents, Memoranda, etc. associated with miscellaneous tax, trust and estate matters specifically including formatting, inputting, editing, proofreading & detailed review of all work produced; On behalf of assignments, liaise with support departments of the Firm; Assist in finalizing multi-element client projects; Submit requests for conflicts reports; prepare and monitor creation of new business forms; perform and execute due diligence functions; Enter time entries and coordinate client billing; Other duties, as assigned
Requirements :
Ø High school diploma or general education degree (GED) Ø Minimum of 4-5 years required in any one of the following areas: taxation, corporate, trusts, estates or any general business or transactional area. Ø Proficiency in the Microsoft Office (Word, Outlook, Excel, Power Point, Adobe) Ø Proficiency in basic knowledge of legal terminology and formatting of legal documents Ø Knowledge of AIM, Perfect Law, Time & Billing, Dropbox Ø Fluent in
English and Spanish Preferred:
