DUTIES AND RESPONSIBILITIES

Oversight of Accounts Payables Team o Supervise and mentor the accounts payable team, providing training and support as needed. o Oversee the processing of vendor invoices and ensure accuracy and compliance with company policies. o Manage the timely disbursement of payments to vendors, ensuring all payment deadlines are met. o Resolve any discrepancies or issues related to vendor invoices or payments promptly. o Prepare and present reports on accounts payable activities and metrics to management. o Conduct regular audits of the accounts payable process to identify areas for improvement and implement solutions. o Review and approve payment runs, ensuring proper documentation and authorization. o Handle escalated payable issues. o Update invoice approvers in the software system and the bank. Oversight of Accounts Receivables Team o Supervise and train the accounts receivable team, providing guidance and support to ensure efficient operations. o Oversee the billing and collection processes, ensuring each association’s collections policy is followed. o Monitor accounts receivable aging reports and follow up on overdue accounts to resolve discrepancies. o Prepare and present reports on accounts receivable performance metrics to management, including aging reports. o Conduct regular audits of accounts receivable activities to ensure compliance with company policies and financial regulations. o Stay updated on changes in accounting regulations, industry trends, and technology to improve processes continuously. o Assist with setting assessment charges up for each association. o Assist with generating and mailing special assessments and annual coupons. o Communicate with clients on accounts receivable matters. o Handle escalated receivable issues. Oversee the Association onboarding and update the transition checklist for the accounting team o Ensure opening balances are entered into the software system. o Create assessment charges in the software system. o Generate and mail coupons. o Completes all signature cards o Assist other team members on a as needed basis on accounting-related functions. Associations offboard o Assists the GL assigned to the association if needed o Assists with creating the stop file for 3rd party processor Bank Deposits/Lockbox Payments o Assist VP of Accounting Services will daily import of Cash Receipts o Assist VP of Accounting with onsite Remote Deposits Train and mentor new and existing staff on software Facilitate the training of new community managers on accounting software Participating in AR, AP, and GL staff annual evaluations Participating in the interview process of potential new team members Review and establish department policies and procedures at the direction of the VP of Accounting Backup to GL Supervisor in the review of all monthly financials prior to release to board and Community Association Manager (CAM) and all GL Supervisor tasks Back up to VP of Accounting Services if/when unavailable. Assist the GL supervisor on as needed basis with completing monthly financials and reviews. Ensure 1099s are completed timely and efficiently. Ensure tax returns and annual CPA reporting’s are tracked and completed. •Salary based on experience
