Executive Director Position Summary:

This position supports the work of the Y, a leading nonprofit committed to strengthening community through youth development, healthy living, and social responsibility. The Finance Director at the Blair Regional YMCA is responsible for financial accounting, investments and information systems; and provides strategic direction and leadership for YMCA business operations and initiatives. Key responsibilities include managing monthly financial reporting, budgeting, and forecasting; documenting, implementing, and adhering to accounting policies and procedures; and ensuring compliance with all applicable federal, state, and local regulations. The Finance Director also assists in the preparation of complete and accurate monthly and annual financial statements in accordance with Generally Accepted Accounting Principles (GAAP).

Essential Functions:

Mission & Organizational Alignment Upholds and reflects the mission of the Blair Regional YMCA through all job responsibilities and interactions. Maintains a high level of confidentiality and dependability to include attendance at work. Must keep sensitive information relative to the organization, employees, and/or the people we serve confidential. Uses, maintains, and safeguards equipment, supplies, financial resources, etc. in an appropriate manner and in the best interest of the organization; reports needed equipment repairs. Ensures incidents/accidents are documented and reported. Performs general administrative duties such as filing and routine correspondence. Participates in and leads professional staff meetings and trainings. Supports the mission of the YMCA by performing other duties as assigned in alignment with organizational needs. Accounting Systems & Internal Controls Oversees the operations of the accounting/finance information systems to ensure accurate and consistent recording and reporting of all YMCA transactions, operations, assets and liabilities. Works closely with IT vendor and software vendors to ensure systems provide accurate information and adequate internal controls. Trains staff in the use of accounting systems. Reviews, updates, and develops internal control systems in coordination with the contracted CPA and monitors organizational compliance. Budgeting & Financial Planning Oversees the development of annual and monthly operating budgets and forecasts, including department budgets. Works closely with staff to ensure that department budgets are well planned, realistic and prepared in a timely manner. Guides strategic planning on financial priorities, individual program operation decisions, and reviews monthly variances with department directors. Anticipates trends and their financial impact and provides guidance on future planning. Communicates with and provides support to the Executive Director and Department Managers, serving as a resource person to management and program personnel in all matters relating to accounting, budgeting & forecasting and financial reporting. Monitors program and team expenses, including reviewing and approving expenditures for swim and gym teams to ensure alignment with budgetary guidelines. Grants & Fundraising Prepares and submits timely invoices and reports for all grant-funded programs in compliance with grant requirements. Monitors grant compliance and assists with applications, budgeting, and reporting. Supports the annual campaign and other fundraising initiatives; participates in association fundraising and special events. Audit, Reporting & External Relations Maintains strong working relationships with the CPA, auditors, bankers, investment counselors, attorneys, and other external partners. Prepares and provides required documentation and support for monthly closings, annual audits, and tax return filings to ensure compliance with accounting standards and legal requirements. Maintains records and prepares internal and external financial reports with support from the CPA, including those required by YMCA of the USA and government agencies. Keeps leadership informed of accounting activities and financial performance as needed. General Accounting Duties Performs a wide range of accounting functions including journal entries, account reconciliations, income statement and balance sheet account review. Manages revenue and expense allocation across departments, programs, and grants; oversees deferred revenues, gift cards, and credit card reconciliations. Oversees bank activity including daily reconciliation of operations accounts and monthly bank reconciliations as part of closing procedures. Performs month-end tasks including bank reconciliations, payroll accruals, prepaid expense allocations, and fixed asset tracking and adjustments. Verifies and allocates purchase orders, check requests, and financial postings to ensure accuracy and appropriate documentation. Classifies, records, and summarizes numerical and financial data and keep financial records. Calculates, prepares, issues and maintains bills, invoices and accounts statements. Follows up on outstanding balances. Calculates and prepares payments for utilities, taxes and other expenses. Processes loan payments and reconciles records for accuracy and compliance. Prepares and issues invoices for outdoor pool services and ensures contract compliance. Payroll & Employee Benefits Prepares and processes payroll, including timesheet collection, data entry into QuickBooks, and paycheck generation. Prepares and files federal, state, and other required payroll withholdings. Receives and processes employee benefit invoices; allocates payroll and PTO deductions and coordinates with HR to ensure timely and accurate execution Monitors YMCA Retirement Fund (YERDI) benefit eligibility, enrollment, and payment processing. Partners with the Executive Director to secure and manage insurance coverage for the YMCA, including liability and employee benefits.

Qualifications:

Bachelor’s degree in accounting, business, finance or equivalent preferred. Minimum of 2 years of accounting experience (fund accounting/nonprofit experience preferred) Knowledge and understanding of general business matters and accounting processes required including accrual accounting, budget development, financial reporting, cash management, payroll, banking, investments, and debt financing instruments. Application of GAAP is required. Proficiency in QuickBooks, Microsoft Office programs (Excel, Word, & Outlook), ability to develop and use spreadsheets and standard business software systems. Knowledge of computer systems, including experience with system selection, new system implementation and project management. Experience with CORE operations software a plus. Requires excellent communication and interpersonal skills. Ability to interface and communicate effectively with all levels of organization and customers from all social and economic segments of the community. Ability to prioritize in an environment that has substantial fluctuations in volume.
