Front Desk Administrative Assistant/After Care Coordinator Creative Montessori School 2800 Montessori Way, Birmingham, AL 35209 About the School Founded in 1968 as a private, non-profit school, Creative Montessori School (CMS) has served as a model for the education community in Birmingham for over 50 years. CMS enrolls 250 students at the toddler, primary, elementary, and adolescent levels on a two-acre campus located in the center of Homewood, Alabama. Position Overview:

CMS is currently seeking a Front Desk Administrative Assistant/After Care Coordinator to join our team. As the Receptionist/Administrative Assistant, you will play a pivotal role in supporting the day-to-day operations of our Montessori school. As the After Care Coordinator, you will manage the operations of our After Care Programs for children 18 months-6th Grade. You will be responsible for providing administrative and organizational assistance to ensure the smooth functioning of the school and support our mission of nurturing young minds.

Key Responsibilities:
Front Desk Operations:

Greet parents, visitors, and students in a welcoming and professional manner, answer phone calls, and manage inquiries.

Administrative Support:

Assist in managing school records, maintaining files, and supporting various administrative tasks..

Communication:

Communicate effectively with parents, staff, and teachers, providing information and assistance as needed.

Supplies and Inventory:

Manage and order office supplies, ensuring that the school is well-equipped.

After Care Coordinating :

Manage the day-to-day operations for our After Care Staff and students, lead monthly meetings, find substitutes as needed.

Other Duties:

Assist with miscellaneous tasks that contribute to the efficient operation of the school.

Qualifications:

Previous administrative experience preferred. A bachelor’s degree in a related field Excellent communication and interpersonal skills Strong organizational and multitasking abilities. Proficiency in office software (e.g., Microsoft Office, Google Workspace). Attention to detail and accuracy. A passion for working in an educational environment and with children. Prior school experience Familiarity with Montessori philosophy is a plus

Front Desk Receptionist Job Description Reports To:
Executive Director/Business Operations Manager/Director of Advancement/ Director of Montessori Education Position Summary:

Responsible for managing the front office and providing administrative support to ensure the smooth operation of the school. This role serves as the first point of contact for parents, visitors, and staff, and requires excellent communication, organizational, and multitasking skills. The ideal candidate is friendly, professional, and able to handle a variety of tasks efficiently.

Key Responsibilities:

Greet and welcome parents, visitors, and staff with a friendly and professional demeanor. Answer and direct phone calls, take messages, and handle inquiries. Manage the sign-in and sign-out process for students and visitors. Assist with school correspondence, including emails, letters, and notices. Maintain student and staff records, ensuring confidentiality and accuracy. Maintain CMS Employee contact information is up to date Manage the school’s database; including but not limited to: entering student/parent information, updating the database as needed, making sure all students information is correct Schedule appointments, and coordinate meetings. Prepare and distribute communications as needed.

Office Management:

Oversee the cleanliness and organization of the front office and reception area. Taking care of the indoor plants in the office and hallways of the Main Building Order and manage office supplies and equipment. Ensure a safe and welcoming environment.

Assist with enrollment and registration processes. Address parent inquiries and concerns, providing information about school policies and procedures. Support the coordination of all school events and activities. Ensure compliance with school policies, procedures, and regulatory requirements. Assist with the preparation of reports and documentation as needed. Support the school director with administrative tasks and special projects. Bachelor’s degree in related field; master’s preferred. Previous experience in an administrative or office management role, preferably in an educational setting. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic knowledge of office equipment. Ability to handle sensitive information with discretion and maintain confidentiality. After Care Coordinator Job Description Position Summary:

Responsible for planning, organizing, and supervising the after-school care program. This role involves creating a safe, nurturing, and enriching environment for students during after-school hours. The ideal candidate is enthusiastic, organized, and committed to fostering the development and well-being of children in alignment with Montessori principles.

Key Responsibilities:
Program Development and Implementation:

Plan and implement a variety of engaging and developmentally appropriate activities for students. Create a structured schedule that includes time for recreational activities, and snack time. Ensure activities align with Montessori principles and support the holistic development of each child.

Supervision and Safety:

Supervise staff who work with students during after-school hours, ensuring everyone’s safety and well-being. See that After Care Staff maintain a clean, organized, and safe environment. Enforce school policies and procedures, including behavior management and emergency protocols.

Staff Management:

Recruit, train, hire, and supervise after care staff and volunteers. Provide ongoing support and guidance to staff, ensuring a high standard of care and professionalism. Conduct regular staff meetings and professional development sessions. Execute verbal warnings, employee write-ups, and all other discipline procedures when necessary. Discussing any concerns or issues with the Executive Director with students and/or employees. (Termination of employees to be determined by the Executive Director.)

Parent and Student Communication:

Serve as the primary point of contact for parents regarding the after-school program. Communicate regularly with parents about their child’s activities, progress, and any concerns. Address parent inquiries, feedback, and concerns promptly and professionally.

Administrative Duties:

Maintain accurate records of student attendance, activities, and incidents. Manage the After Care program budget, including purchasing supplies and materials. Prepare and submit reports as required by the school administration.

Collaboration and Coordination:

Work closely with classroom teachers and school staff to ensure consistency and continuity of care. Coordinate with external vendors and community organizations for special programs or events. Assist with school-wide events and activities as needed. Misc. First Aid and CPR certification (or willingness to obtain). Background check and clearance as required by state regulations.
