The salary for this position is $55,000 plus $7000 medical reimbursement and retirement benefits of matching up to 3%.

Full-time (40-hour week) About Black Mountain Counseling Center Black Mountain Counseling Center is a 501(c)(3) nonprofit organization dedicated to providing accessible, professional mental health counseling services to individuals and families in Western North Carolina. With offices in Black Mountain and Old Fort, BMCC serves clients across Buncombe and McDowell counties, offering care regardless of a client’s ability to pay.
Position Overview :
The Operations Manager plays a crucial role in supporting the day-to-day operations of the organization and ensuring seamless administrative processes. This position works closely with the Executive Director, Clinical Director, Board, and other staff to provide essential behind-the-scenes support that allows clinical services to run efficiently and ethically. The ideal candidate is detail-oriented, highly organized, and comfortable navigating multiple systems and tasks. They are capable of maintaining confidentiality, troubleshooting technical and administrative issues, and serving as a key point of contact for both staff and clients. This role requires a high level of integrity, communication skills, and a proactive mindset to support a mission-driven counseling center in providing accessible mental health care to the community. Qualifications Associate’s or Bachelor’s degree in Business Administration, Healthcare Administration, or a related field (or equivalent experience) 2-3 years of experience in administrative, office management, or operations roles Ability to meet and welcome the public within the building. Knowledge of facilities management and ways to manage a well-run and well-maintained facility Ability to work independently Ability to work collaboratively within a team, including BMCC Board, Staff, and Clients. Strong people skills and effective communication skills, both oral and written. Excellent organizational skills and attention to detail. Proficiency in Google Workspace Basic knowledge of IT Basic knowledge of managed care systems Experience in a healthcare or mental health setting preferred Familiarity with nonprofit organizations Technical skills including proficiency in Google Workspace and experience with electronic health records systems. Familiarity with cybersecurity best practices and HIPAA compliance Able to provide clear guidance to clients regarding forms, privacy, and insurance Comfortable coordinating with clinical staff, vendors, and external agencies Flexible and able to adapt to changing needs in a nonprofit clinical setting Ability to manage tasks related to hiring, credentialing support, and audits Commitment to the mission of providing accessible mental health care Working Conditions Regular work hours (8-5 M-F) Occasional evening and weekend hours may be required for events or meetings. Key Responsibilities Administrative Responsibilities Managing the main office communications, including email and phone, creating a welcoming space for staff, donors, and clients Daily management of facilities, including but not limited to scheduling spaces for therapists and coordinating meeting spaces IT management and support Collaborating with Medical Billing Specialist, Credentialing Specialist, and other professionals. Client and staff support with office space General housekeeping and office supply management Office technology and security management Supervises staff including but not limited to cleaner, billing specialist, credentialing specialist, and volunteers. Attendance of monthly staff meetings and other meetings as requested Working with contractors and builders to create a new office space and set up offices and therapy rooms. Other duties as assigned by the executive director Financial Responsibilities Support the CPA in logging and tracking of all financial activities, especially for grant transactions. Payroll management for contractors and employees Complete weekly bank deposits Provide financial updates to the executive director Support budget development and management in partnership with Executive Director and Finance Committee Billing and Insurance Responsibilities Support credentialing specialist Work directly with the billing specialist by attending weekly meetings Manage transactions for BMCC’s subsidy program Process all client payments and in house insurance payments into the electronic medical records system Black Mountain Counseling Center is an equal-opportunity employer committed to fostering a diverse and inclusive workplace.
