Your role will involve managing customer inquiries, assisting with orders, and ensuring a seamless experience for our clients. We are seeking a motivated individual with strong communication skills and a passion for providing outstanding service.
Responsibilities:
1.
Customer Support:
- Respond promptly to customer inquiries via phone, email, or in-person visits.
- Provide accurate information about our dental lab services, products, and pricing.
- Assist customers with placing new orders, modifying existing orders, and tracking order status.
- Address customer concerns or complaints professionally and empathetically, striving to achieve resolution.
2.
Order Management:
- Process orders accurately and efficiently, ensuring all necessary information is captured.
- Coordinate with dental technicians to schedule and prioritize orders for timely completion.
- Monitor order progress and provide updates to customers as needed, including estimated delivery times.
3.
Communication Liaison:
- Facilitate clear communication between customers and internal departments, such as production and billing.
- Relay customer feedback, requests, and concerns to the appropriate team members for resolution.
- Ensure that all communication with customers is conducted in a courteous and professional manner.
4.
Documentation and Record Keeping:
- Maintain accurate records of customer interactions, transactions, and order details in the database.
- Process payments, issue invoices
- Prepare and distribute reports on customer service metrics, including satisfaction levels and response times.
5.
Quality Assurance:
- Collaborate with the quality control team to ensure that all dental products meet our standards before delivery.
- Address any quality issues or concerns raised by customers promptly and coordinate resolutions.
Qualifications:
- Previous experience in customer service, preferably in a dental industry.
- Excellent communication skills, both verbal and written, with a professional and friendly demeanor.
- Strong interpersonal skills and the ability to empathize with customers’ needs and concerns.
- Proficiency in computer applications, including MS Office and customer relationship management (CRM) software.
- Attention to detail and accuracy in order processing and data entry.
- Ability to multitask effectively in a fast-paced environment while maintaining a positive attitude.
- Knowledge of dental terminology and procedures is a plus.
Working Conditions:
- This position is typically performed in a dental laboratory or office environment.
- May require prolonged periods of sitting or standing.
