The role you will contribute:
The Senior Manager of Health Information Management (HIM) of Document Integrity is responsible for managing, leading, and implementing the activities and initiative of the HIM team for the document imaging and chart recovery processes to include chart recovery, chart reconciliation, scanning/storage, chart analysis, and medical record merging throughout the Central Florida Division-South (CFD-S). Assists with coordination, communication, change management, and sound business decision making. Through effective leadership, produce sustainable results while creating an engaging atmosphere in which all employees contribute to the success of the team. Maintains and promotes the confidentiality of employees, patient administrative staff and functions, and medical staff information with no infractions. Adheres to the Advent Health corporate compliance plan and to all rules and regulations of applicable local, state and federal agencies and accrediting bodies governing the practice of health information Actively participates in outstanding customer service and accepts responsibility in maintaining relationships that are equally respectful to all.

SCOPE OF RESPONSIBILITY
  • Provides guidance and direction of all Cerner document imaging and chart recovery processes to include chart recovery, chart reconciliation, scanning/storage, chart analysis, and medical record merging throughout the CFD-South.
  • Collaborates with IT to develop, plan, implement, and support the electronic health record ensuring best practices for managing electronic patient records.
  • Organization-wide collaboration with hospital Administration, clinical departments, and other related departments such as Medical staff, Performance improvement, Data Management and IT to support compliance efforts for the content and integrity of the medical record.
COMPLIANCE/REGULATORY RESPONSIBILITY
  • Promotes and protects confidentiality, integrity and security of health records and health information as well as ensures all federal, state and local legislation are adhered to in conjunction with document imaging and chart recovery.
  • Maintains current knowledge of applicable federal and state legislation set forth by CMS, AHCA, DNV, NIAHO and other related laws to ensure organizational adoption and compliance of EHR and medical record practices.
  • Ensures timely and accurate reporting of system wide departmental statistics in an effort to meet organizational metrics.
OPERATING & CAPITAL BUDGET/FINANCIAL RESPONSIBILITY
  • Manages an annual operational budget for HIM Document Imaging cost center to meet established goals (Manages an operational budget of $2.5M).
  • Collaborates with fellow HIM management regarding department budget and operational plan development to maintain fiduciary responsibility and achieve greater financial performance.
  • Provides oversight for the maintenance and functionality of all capital equipment and IT equipment housed within document imaging/chart completion and works closely with IT Manager to ensure optimal usage.
STRATEGIC PLANNING RESPONSIBILITY
  • As a member of the Hospital Leadership, contributes to the development and implementation of the strategic innovation agenda.
  • Assists the HIM department Director and collaborates in developing system-wide short and long-term strategic plans to ensure continued success and sustainability while considering new opportunities to advance HIM to pacesetting performance.
  • Collaborates with IT to develop and implement process improvement opportunities related to the EHR, document imaging and chart completion in order to deliver expected benefits through an integrated approach.
PERFORMANCE IMPROVEMENT RESPONSIBILITY
  • Contributes to patient safety and quality of care in accordance with the mission and strategic goals of the department and Advent Health. Assists in the development of and implements key performance measures such as turn-around time, quality, productivity, etc.
  • Cultivate department and hospital regulatory compliance through collaborative efforts with key departments and their leadership to include development and deployment of department and hospital wide education and process change initiatives.
  • Actively promotes and participates in change management as a result of performance improvement activities.
COMMUNITY RELATIONS RESPONSIBILITY
  • Supports, promotes, and encourages Advent Health community efforts such as canned food drive, Backpacks for Kids, Adopt-a-Family, United Way, CREATION Health and other related activities.
  • Responsible for maintaining a good working relationship ED, floor and hospital leaders.
STAFFING/LABOR/SUPERVISORY RESPONSIBILITY
  • Responsible for recruiting and providing support, guidance and mentorship to the Document Imaging, Chart Recovery and analysis management team to ensure succession planning.
  • Manage department labor tracking and budget in accordance with organizational policies and in conjunction with HIM Director.
  • Provides leadership and guidance of staffing resources to ensure compliance with department standards; ensuring hours are flexed & overtime avoided as necessary.
  • Provide leadership oversight and guidance to team ensuring top box results in Employee Engagement.
  • Department operates 24 hours, 7 days per week, 365 days per year.

Associate of Science Degree in Health Information Management or related health care field with focus on Health Information Management. Required
4 years of HIM experience. Required
Current registration with the American Health Information Management Association. Required
Credentialed status of Registered Health Information Administrator (RHIA) or Registered Health Information Technician (RHIT). Required

Preferred Qualifications:
  • Bachelor’s of Science Degree in Health Information Management.

Education that would provide eligibility for

RHIA/RHIT

credential exam as required by the American Health Information Management Association (AHIMA).

  • Knowledge of
HIPAA, DNV, NIAHO
  • Ability to maintain the departmental budget, and overall – plan, organize, direct, control, implement and coordinate the HIM department activities
  • Strong organizational, team development and mentoring skills.

Knowledge of electronic medical record systems, document imaging functions, chart completion requirements and other regulatory requirements related to Health Information Management.
