Front Desk and Patient Accounts Coordinator Mobile Psychological Services Mobile, AL 36695 Job Overview We are seeking a dedicated and organized Front Desk and Patient Accounts Coordinator to join our psychology office team. Pay is based on experience. This role serves as both the first point of contact for patients and the lead for managing patient accounts and billing operations. The ideal candidate will provide exceptional service while ensuring a smooth front desk operation and accurate, timely billing processes. This role requires strong administrative skills, familiarity with EHR systems, and experience in insurance verification and mental/behavioral health billing. The Front Desk and Patient Accounts Coordinator plays a critical role in enhancing patient experience, maintaining financial accuracy, and supporting the overall success of the practice.
ResponsibilitiesFront Desk Operations:
Greet patients warmly and manage the check-in and check-out process Schedule, confirm, and reschedule patient appointments using EHR/scheduling software Answer incoming calls and respond to inquiries with professionalism Execute day-to-day operations of the office, including supply ordering, employee scheduling, training, and other duties as assigned Ensure accurate collection of insurance and demographic information during check-in Collect co-pays and payments on patient accounts Maintain a clean and organized front desk area Patient Accounts /
Billing Duties:
Verify patient insurance, including Medicare and commercial plans Obtain prior authorizations and referrals as required Accurately enter charges and prepare claims for submission to insurance payers Monitor claim status and follow up on unpaid or rejected claims Resolve claim issues and resubmit within timely filing limits Review insurance remittances for errors, make necessary corrections, and resubmit claims Post payments accurately and in a timely manner Prepare and send monthly patient statements Assist patients with billing inquiries and payment plans Review and monitor aged receivables for both patients and insurance Prepare patient accounts for collections when necessary
Office Management Oversight:
Establish and monitor processes for accurate charge entry and billing Oversee front desk operations and workflow to ensure efficiency and excellent patient service Monitor payment posting processes for accuracy and timeliness Continuously assess and improve policies and procedures to enhance office performance Collaborate with clinical and administrative staff to support a seamless patient care experience Skills & Qualifications Experience with EHR or scheduling software Strong knowledge of behavioral health billing, CPT/ICD-10 coding, and insurance verification Experience obtaining prior authorizations and working denied claims Excellent verbal and written communication skills Highly organized with strong attention to detail Ability to multitask and manage time effectively in a busy environment Previous experience in medical office management, billing, or patient accounts is strongly preferred Commitment to providing compassionate and professional patient service
