POSITION SUMMARY
Henry Eye Clinic, a physician-owned ophthalmology practice in Northwest Arkansas, is seeking an experienced and visionary Practice Administrator to lead the next chapter of our organizational growth. With clinic volume doubling over the past seven years, we are restructuring our leadership team to meet the evolving demands of a thriving, multi-physician, surgical practice.
Our long-standing office manager, Andrea, will be retiring after over 30 years of dedicated service. In this transition, Tami-who is serving in the Practice Administrator role-will shift into the Office Manager position, focusing on day-to-day clinic operations, ordering, scheduling coordination, billing supervision, and staff support. The newly hired Practice Administrator will step into a higher-level leadership role, responsible for strategic planning, financial oversight, operational efficiency, and ensuring accountability across departments. This person must have senior healthcare managerial experience and the ability to immediately influence culture, restructure operations, and manage both financial and operational priorities.
This position requires a hands-on, systems-oriented leader who can think big, execute effectively, and work collaboratively with both physician owners and frontline staff.

KEY RESPONSIBILITIES

Organizational Leadership & Accountability
Serve as the top non-physician executive overseeing business operations and strategic initiatives across the clinic.
Enforce clinic-wide policies, ensure adnce to expectations, and maintain a culture of accountability through a tiered leadership structure.
Supervise and support the Office Manager who will oversee daily logistical and personnel coordination.
Guide the clinic through change management, leadership development, and workflow optimization.
Strategic & Financial Oversight
Develop and manage annual operating budgets; provide monthly financial reporting to physician owners.
Analyze KPIs, payer contracts, and RCM performance to improve profitability and sustainability.
Drive business planning, cost containment, and expansion of high-value service lines (e.g., premium surgical offerings).
Lead strategic initiatives including vendor negotiations, payer relationships, compliance programs, and clinic infrastructure growth.
Human Resources & Culture
Oversee HR policies, staff development, and performance management, ensuring alignment with clinic values and goals.
Work with the Office Manager to ensure consistent onboarding, orientation, and in-service training.
Promote a positive and high-performance culture through clear expectations, respectful leadership, and consistent follow-through.
Lead or support hiring, progressive discipline, and termination decisions for department leads and staff.
Clinic Operations & Compliance
Maintain high-level oversight of front desk, billing, clinical, and surgical workflows to ensure efficiency and quality patient care.
Ensure compliance with HIPAA, OSHA, CLIA, MIPS, and other state/federal regulations.
Collaborate with department leads to streamline processes and remove bottlenecks.
Oversee risk management, patient grievance escalation, and incident resolution.
Marketing & Community Presence
Support business development efforts, including strategic marketing, referral relationships, and reputation management.
Monitor local trends and position Henry Eye Clinic for continued clinical and financial leadership in the region.

COMPENSATION & BENEFITS
Salary Range:

$150-160,000 (with incentive bonus annually based on clinic performance), commensurate with experience and qualifications

Employer-subsidized medical insurance (we currently pay 75% of monthly premiums to $1500 deductible plan)

401(k) with 3% employer match

Paid Time Off:

4 weeks PTO per year (can be taken in hourly depending on needs), with holidays (New Year’s, Memorial Day, 4th of July, Labor Day, Thanksgiving, and Christmas off)

QUALIFICATIONS

Bachelor’s degree in Healthcare Administration, Business, or a related field required; Master’s degree strongly preferred.
Minimum of 5-10 years of senior healthcare management experience, ideally within ophthalmology or a surgical specialty.
Demonstrated financial acumen, including experience managing budgets, analyzing performance metrics, and overseeing revenue cycle operations.
In-depth knowledge of Medicare, Medicaid, commercial insurance plans, managed care structures, corporate compliance, and HR regulations.
Proven ability to lead through others, fostering a culture of accountability, clear communication, and operational excellence.
Strong interpersonal, conflict resolution, and organizational change management skills.
Success in this role requires excellent analytical capabilities, high emotional intelligence, and a calm, diplomatic leadership style. The ideal candidate is team-oriented and approachable, yet capable of making firm, unbiased decisions that serve the practice as a whole. A servant-leadership mindset, superior organizational abilities, and the agility to frequently reprioritize without losing control of daily operations are essential for long-term success.
