Position Summary:
The Clinic Office Manager is responsible for overseeing the daily operations of the clinical office to ensure organizational efficiency, regulatory compliance, patient satisfaction, and team effectiveness. This role includes managing administrative procedures, inventory, staff performance, and supporting clinical operations.
Essential Responsibilities:
Manage clinical operations, patient scheduling, supply ordering, and administrative workflows. Coordinate and support the Medical Assistant (MA) team, including staffing schedules, conducting team huddles, and overseeing performance and training. Support in-office procedures as needed; oversee compliance processes including UDS, BRE, DME, and dispensing. Review and monitor encounter documentation, voicemail follow-ups, and operational workflows for accuracy and completion. Handle medication prior authorizations and manage medical supply inventory. Conduct weekly provider team check-ins and recommend staffing adjustments based on clinical volume. Manage payroll, PTO, attendance tracking, and correct discrepancies. Recruit, orient, train, and coach clinical administrative staff. Maintain logs (medication, crash cart, safety, infection control) and ensure HIPAA and OSHA compliance. Serve as liaison with HR, IT, and facilities for maintenance, equipment, policy updates, and company events. Respond to patient inquiries and resolve complaints promptly. Oversee clinical office financials by monitoring budgets and preparing reports. Serve as the clinic’s Fire Safety and OSHA Officer, maintaining all required safety standards. Support practice growth by developing and improving operational procedures.
Qualifications:
Education:
Unrestricted state license (if applicable) and relevant education/training.
Certification:
Current BLS Certification preferred.
Experience:
Minimum of five (5) years of clinical office management experience, preferably in pain management or related specialties.
