Responsible for supporting the operations within the physician enterprise across specific clinics and care locations. Works in collaboration with management team to ensure delivery of patient care services is efficient, with high quality outcomes. Acts as a representative for internal and external customers affairs. Responsible for hiring, directing and evaluating designated management team members. Responsible for performing job duties in accordance with mission, vision, and values of the organization. Essential Functions Provide administrative oversight and support for patient care/clinical support related activities at all clinic locations that have been assigned. Leads the preparation and submission of operational budget recommendations for facility-level function for approval; revises as appropriate. May review, modify, and approve budget recommendations of assigned modalities, programs or sections as part of operational budget preparation. Monitors assigned budget(s), responds to variances, and adheres to budget and productivity guidelines. Ensures competence of assigned team members and compliance with regulatory requirements, organizational policy, and performance requirements. Builds and fosters collaborative relationships with other departments/service-lines within the organization to stay informed and abreast of new initiatives, products, and services; identifies opportunities to support organizational initiatives, quality, efficiency, effectiveness and world class service excellence. Oversees key projects, processes and performance reports, data and analysis; forecast requirements, analyzes variances and initiates corrective actions. Develops and implements ongoing quality and operational process improvements through the demonstration of quantifiable clinical and/or operational outcomes, safety management and operational efficiency. Creates updates and maintains operational metrics and analytics reporting process including the communication of such metrics and analytics. Confers with director to review achievements and discuss required changes in goals or objectives resulting from current status and conditions. Responsible for patient experience strategy, initiatives, and escalations through operational metrics and identified priorities while ensuring patient flow is supported and proper utilization of all clinic space. Updates job knowledge by participating in educational opportunities; reviewing professional publications; establishing personal networks; benchmarking state-of-the-art practices, participating in professional societies. Demonstrated competence in the following Leadership functions, abilities, and skills: Planning, Organizing, Directing, Staffing, Coordinating, Reporting, Budgeting and Ability to lead effectively in a Matrix Organization. Serve as a liaison between Directors, Physicians, and Staff regarding any clinical and operational challenges. Supports operational initiatives around department and entity growth including, but not limited to, conducting and submitting a proforma tied to operational initiatives, identifying quotes from vendors and identifying supplies needed for all SOC requests. Respond to daily operational challenges by understanding issues through rounding, huddles and team member concerns that are brought forward to ensure resolution and support for team members. Performs other job duties as assigned Qualifications Education Bachelor’s Degree Healthcare Administration, Business, Nursing or Related field. Work Experience Ten (10) years progressive experience in healthcare setting with at least two (4) of those years in Lead, Supervisor, and Leadership roles. Technical Knowledge, Skills, and Abilities Must be able to communicate and collaborate effectively with a diverse group of patients, families and team members. Responsible for the planning and operational execution of strategic initiatives to expand the services, creation of efficient clinic operations, and supports services through service line initiatives. Creates and executes on operational efficiency initiatives and creates measurable metrics to measure success. Analytical skills related to independently interpreting, preparing, and analyzing budget and workload data, comparisons with relevant federal and/or other performance-based data. Maintains current knowledge based off compliance, rules and regulations, and licensure from accrediting boards. Must be self-directed and capable of priority setting and problem solving. Must be able to demonstrate effective management skills and techniques. Must be able to demonstrate patient centered/patient valued behaviors. Must demonstrate advanced knowledge of assigned department operation including policies, personnel and budget management. Demonstrated strong skills in organization, leadership, and workload management, strong and effective skills in communication, teaching and negotiation.
