We are seeking a friendly, detail-oriented, and compassionate Patient Care Coordinator to serve as the first point of contact for our clients. In this role, you’ll ensure each patient has a seamless and positive experience—from initial consultation to follow-up care. You’ll work closely with our clinical and administrative teams to support patient scheduling, education, and satisfaction.

Responsibilities:

Greet patients in a warm and professional manner in-person, over the phone, and via email Schedule appointments and manage the daily calendar efficiently Provide detailed information about treatments, procedures, and pre/post-care instructions Conduct initial intake and ensure patient records are accurate and up to date Coordinate treatment plans with providers and follow up on patient satisfaction Maintain HIPAA compliance and confidentiality at all times Manage front desk duties including answering inquiries, processing payments, and retail sales Assist with marketing activities, events, and promotions as needed Resolve patient concerns with empathy and professionalism Assist with other tasks if needed

Requirements:

Previous experience in a customer service or patient-facing role (med spa, dermatology, or aesthetics preferred) Excellent communication and interpersonal skills Strong organizational and multitasking abilities Proficient with scheduling software and EMR systems Knowledge of aesthetic treatments (Botox, fillers, laser, skincare, etc.) is a plus Professional appearance and demeanor
