POSITION SUMMARY

The Transportation Coordinator is responsible for overseeing all aspects of transportation services provided to Ibis patients. This role includes managing transporter assignments, scheduling routes, and coordinating both internal and external transportation services. The Transportation Coordinator ensures all staff and vehicle credentials are current and in compliance with agency policies and regulatory standards. Additionally, the role involves maintaining vehicle readiness, overseeing required documentation, and ensuring accurate and timely submission of billing records. The position requires a strong commitment to safety, regulatory compliance, and operational efficiency.

QUALIFICATIONS

High school diploma or equivalent required. Must be at least 21 years of age with a minimum of 2 years’ experience transporting clients. Must be able to operate any Class 3 vehicles, such as a sedan, van, or SUV. Experience in the mental health field or health care setting is preferred. Must have the ability to communicate clearly and appropriately with patients, co-workers, and visitors. Must have the ability to read and interpret documents such as safety rules, operating instructions, and procedure manuals. Must have leadership skills. Must meet the minimum requirements for providers with which the agency contracts. Must have a reliable source of transportation, a valid Florida driver’s license, a clean driving record, and automobile insurance.

WORK ENVIRONMENT

General climate-controlled health care setting. Most of the work completed entails driving, administering, and managing documentation, coordinating scheduled transportation, and overseeing staff and agency vehicles to ensure efficient and compliant operations. Interface with clients in an outpatient or acute care inpatient environment. Fast-paced. Multi-tasking requires above-average time management skills. Team approach.

FUNCTIONAL RESPONSIBILITIES INCLUDE

Provide direct supervision for the program staff and ensure training compliance. Interviews/hires prospective employees and orients them to the program. Managing and organizing the continuous workflow of the workspace, including the cleanliness and safety of the vehicles and workspace. Maintain general knowledge of agency services available for clients. Communicate effectively and maintain cooperative relationships with internal and external resources. Complete documentation and/or data entry per agency requirements. Managing necessary documentation for vehicle operation, maintenance, and billing. Other duties as needed per agency requirements.

PHYSICAL DEMANDS

Abilities in reaching, bending, talking, fingering, sitting, carrying, standing, grasping, fine hand coordination, ability to hear, ability to read and write, and the ability to remain calm under stress. Ability to reach with hands and arms, climb stairs, balance, stoop, kneel, crouch or crawl. Specific vision abilities include close, distance, color, peripheral, depth perception, and the ability to adjust focus. Must be capable of lifting 50 pounds of dead weight alone. May be required to stand for an extended period.

COMPLIANCE RESPONSIBILITIES INCLUDE

Adheres to all applicable federal, state, local, and company-maintained standards of compliance, ethics, and policies concerned with the administration and delivery of agency services. Ensures compliance with managed care transportation contracts by submitting accurate documentation to support timely and correct billing of transportation services. Meets deadlines, requirements, and expectations as established by the supervisor, agency, and department. Completes administrative functions and data entry timely and accurate manner.
