Administrative & Compliance Duties A. Scheduling Coordinator – to include, but not limited to, the following: Coordinating appointments to meet daily

goals Confirming patients two days in advance, before 10 am Be attentive to the schedule at all times: o Fill the schedule o Call out schedule changes to inform team of changes, late appts. o Call patients when they are 10 min. late for appt to make sure “everything is ok?” Proficiently checking out the patient Collecting payments and immediately applying as Deposit into Billing ledger Watch the schedule and communicate when we get behind. Let us know when a patient checks-in (restorative and hygiene). If we are past 10 minutes late, please notify us a second time. Call each patient that did not show up on the previous day and get them rescheduled!

KEEP THE SCHEDULE FULL!

Print recare reports at the end of each month and call every patient that is past due o Follow the protocol established in “Total Team Training” manual Please keep doctors schedules booked for production. Doctor scheduling is check-out priority, and the hygiene schedule is check-in priority, but please work together to help each other. Come to huddle with a smile on your face and identify: o Who has an outstanding balance? o Who has unscheduled TX. o Anything notable about their health, family or celebration o Bring monthly numbers to meeting Responsible for managing ZocDoc platform o Must confirm appt within 24 hours, if not, cancel it B. Insurance Verification and Education – to include, but not limited to, the following: Verify dental benefits and scan into the chart (phone, fax or via internet) Verify and confirm dental benefits before patient visit Complete breakdown for every new patient and updated insurance Inform and educate patients about their options (i.e. insurance versus NIDO in-house membership, PPO versus HMO, waiting periods, missing tooth clauses, deductibles, maximums, copays, deductibles, and any other relevant information to help them make an informed decision Maintain accurate records and update database of insurance policies, ensuring all related information is organized and easily accessible. Serve as the main point of contact between the dental office and insurance companies, resolving issues, clarifying questions, and negotiating terms when necessary C. Patient Concierge – to include, but not limited to, the following: Answering the telephone o Answer phone with a SMILE and say, “Thanks for calling Dr. Aldama’s office, this is [NAME].” o When not working directly with a patient, ensure the THIRD ring answers the phone. Proficient at NP calls and converting to an appointment Triage emergencies and schedule accordingly Properly greet the patient – verify name, nickname, address, phone, employer, and insurance Check out patients with a smile on your face Check-in patient: Update medical history and scan document into system. Update every patient’s information at every appointment (phone numbers, insurance, address, etc.) Print router and inform the back that the patient is here, the information is updated, and the patient is ready to come back.

New Patient:

Smile! Be a great concierge o Greet all patients when they walk in, smile, and be courteous. The patient is our livelihood and should be treated like they are always #1 o Welcome patients to the office, we are excited to meet you, you will be with HYG or DR today. In the meantime, let’s verify and update your information. o Get coffee or water for patients after offering o Hang coats and take umbrellas when needed o Be of service to the patient, i.e. show where the restroom is. Schedule patients, we refer to specialists. Make a note in their chart (under references) D. Administrative and Compliance Dutie s – to include, but not limited to, the following: Ensure the dental office and your work complies with all local, state, and federal regulations related to insurance, including HIPAA, which protects patient privacy. Responsible for maintaining voicemail answering service and phone schedule on Mango Voice. Watch monthly Curve webinars and inform DR and team of updates and improvements Make financial arrangements, Present TX plans, and schedule next TX (including pending TX). Review voicemail and follow up accordingly Review faxes and distribute accordingly Distribute phone messages Receive and follow up with emails; distribute as needed Take care of administrative tasks assigned Sort and distribute mail Maintain neat and orderly reception area (i.e. your working space and the patient lobby) Handle monitoring and handling all correspondence from the internet Social media posting, tagging, and sharing. Work pending treatment to be scheduled: o Unscheduled treatment list, o Quick fill, and o Priority list Handle patient challenges. Clean all Cafecito cups after client use with detergent and sponge. Dry with paper towels Promote NIDO and register people
