Company with great benefits including paid time-off, holidays and bonus. Minimum of 2 years’ experience as a Medical Office Manager is required for this position. Candidate MUST be bilingual (Spanish/English). The Medical Center Site Manager is responsible for managing all aspects of daily operations, ensuring regulatory compliance, fostering a positive work environment, and maintaining high standards of patient care. The Site Manager leads and supervises all center employees to establish and uphold an effective, efficient, and safe operation that aligns with the needs of patients, physicians, and staff. This position operates in a dynamic and professional environment to ensure the highest level of quality healthcare is delivered to our members. Job duties include, but are not limited to: Supervise and facilitate day-to-day medical office activities and center operations to enhance patient experience and customer satisfaction. Oversee all center personnel, ensure appropriate staffing levels, and regularly evaluate productivity and performance. Participate in hiring decisions, termination process, and promotion proposals. Support and uphold the values, policies, and procedures of Vida Medical Centers. Conduct daily walk-throughs of the center to ensure a clean and safe environment, including spot checks of back office for expired medications, proper biohazard waste and medicine disposal, etc. Maintain updated documentation of permits and licenses in compliance with regulatory procedures. Assist in compiling information for regulatory agency audits and periodic inspections. Monitor and manage inventory of all office and medical supplies, ensuring cost-effective utilization of supplies and equipment. Ensure strict confidentiality of all health records and member information, adhering to relevant healthcare regulations, including HIPAA guidelines. Provide extraordinary customer service to all members and internal and external staff, including specialist offices. Regularly monitor and answer phone calls, faxes, EMR messages, and emails in a timely manner. Use the company’s assigned payroll software to manage and track employee data, timesheets, payroll, performance reviews, documents, etc. Monitor and/or adjust team member work schedules, including review and approval of time-off requests and overtime hours, to ensure proper coverage. Monitor personnel productivity levels and provide counseling and disciplinary action, when necessary. Manage facilities maintenance and housekeeping to meet current company standards and future needs. Continuously evaluate patient flow, wait times, and schedules, taking prompt action to resolve delays and enhance patient comfort. Ensure maximum patient satisfaction and exceptional quality care among all members to optimize retention rates. Address member complaints in a timely manner. Employ all necessary strategies to avoid member disenrollment. Train all team members to de-escalate situations and advocate retention prioritization. Assist in the development and coordination of entertainment program functions, special events, activities calendar, and all other Wellness Center operations. Monitor transportation service and oversee driver activities. Collaborate closely with the Marketing Department to develop strategies for increasing and retaining membership. Maintain an awareness of the competitive healthcare environment to actively drive sales and ensure that Vida Medical Center’s level of service exceeds all other healthcare providers. Work with Administrative teams such as Medical Records, Referrals, Surgical Clearance, Hospitalization, Customer Service, Retention, etc. to ensure a cohesive, accurate, complete, and efficient patient experience. Conduct tours and/or oversee the visit of prospective patients and ensure New Patient documents are properly completed. Prepare and review reports to ensure target metrics are achieved and processes are being followed. Provide support to other administrative departments as well as other centers as needed.
