Full Job Description Position Summary:
Performs and provides secretarial, technical, and administrative support to the Medical Staff Services Department, committee structure and coordination of Medical Staff. Assists in coordinating updates on Medical Staff Bylaws, policies, and Rules and Regulations, maintaining current knowledge of Federal and State Regulations. Responsible for coordinating as well as providing secretarial support for the Medical Staff and Medical Associates/Assistants initial credentialling and privilege delineation activities, including requests for temporary privileges, preparation of National Practitioners Data Bank information, biennial reappointments and preparation of peer review for provisional Medical Staff and Medical Associates/Assistants. Acts as a liaison between the Medical Staff and hospital administration.
Key Responsibilities:
Responsible for providing day to day administrative support of the department. will provide and help the Manager manage physicians initial and reappointment credentialing privileging activities. Collects and compile data to meet regulatory requirements for credentialing function. Prepares all collected & verified data for presentation to appropriate hospital committees for approvals. Perform general office and secretarial work, including typing, transcription of dictation, processing and distribution of all incoming and outgoing mail on a daily basis, confidential and special report preparation. Maintains accurate, up-to-date mailing lists of current Medical Staff. Maintains knowledge of operations and functions of hospital departments serves as general information resource of the Medical Staff, general public, and other hospital departments. Prepares monthly schedule of Medical Staff activities including the scheduling of meeting rooms, room set up, and food services. Notifies Medical Staff Committees and Departments of meetings, assists in general mailings to the Medical Staff. Maintains attendance and other records for the Medical Staff Departments and committees, posting data from one record to another. Provides secretarial support for specific committees, as assigned, including preparation of agendas, committee member attendance at meetings, typing of minutes and follow-up of minutes. Provides secretarial support in the credentialing process as needed. Maintains confidential credentials file of all members of the Medical Staff. Coordinates the requests for applications; maintains records of applications provided. Processes request for temporary and or additional privileges, obtaining appropriate approvals and distributing notification of temporary privileges granted. Maintains current records of proctoring, where applicable, of physicians and assures appropriate review by Department Chiefs and the Credentials Committee. Coordinates the biennial reappointment process for each member of the Medical Staff and Medical Associates/Assistants in a timely manner. Responsible for confidential correspondence as well as special projects requested by the Chiefs/Chairmen, Administration, and the Medical Staff. Responsible for preparation and maintenance of On-Call Roster as well as distribution as specified by the Medical Department Rules and Regulations. Assists with all JCAHO Medical Staff accreditation preparations.

High School Diploma or GED Certificate. Associate degree preferred. Experience Must have two years of executive secretarial experience. One of Two years’ experience in a medical staff office preferred. Knowledge of State, Federal, and JCAHO regulations. Previous credentialing and management experience in a healthcare setting preferred.
