This role demands excellent organizational abilities, attention to detail, and the capability to collaborate effectively with healthcare professionals, patients, and other team members. The Procedure Coordinator guarantees the seamless and effective progression of procedures in the practice while sustaining productive communication with all stakeholders involved.

Duties and Responsibilities:

Schedules procedures and treatments for patients, ensuring optimal utilization of resources and efficient use of time. Coordinates internal and external referrals for TMS and Spravato treatments to establish appropriate dates, times, and locations for procedures. Meets with TMS candidates to obtain relevant medical information for treatment candidacy. Submits TMS prior authorization to appropriate payor, coordinates payments for TMS services, and coordinates scheduling of first TMS treatment visit. Communicates scheduling details to patients, providing clear instructions and addressing any questions or concerns they may have. Provides clinical historical summary to Medical Director for the purpose of evaluating treatment candidacy, obtaining prior authorization, peer-review with insurance companies, and clinical assessment of the candidates. Documents all interactions in proprietary software. Coordinates Spravato prior authorizations with dispensing pharmacy, coordinates payments For Spravato treatments, and schedules patients for first Spravato treatment. Provides coverage for TMS treatments and Spravato treatments when treaters are absent. Coordinates quarterly review with Medical Director to go over overall performance and external leads converted. Trains TMS treaters and prepares them for TMS certification. Helps in coordinating training for Spravato Medical Assistants. Coordinates with patients and provides detailed instructions regarding pre-procedure requirements, such as fasting, medication restrictions, or specific preparations. Perform other duties as deemed necessary to the success of the practice. Required Experience and Education Successful completion of TMS certification based on initial training provided. Bachelor’s degree in healthcare administration, psychology, or a related field preferred. TMS Experience preferred Experience in a health care facility preferred. Required Skills and Abilities Bilingual in Spanish preferred. Excellent verbal/written communication skills coupled with strong interpersonal skill Able to work well under tight deadlines and respond to rapidly changing demands. Capable and comfortable dealing with sensitive and confidential information with discretion. Ability to self-research, educate and learn on their own. Must be extremely detail oriented and able to multitask. Possess a high level of self-motivation and energy. High organizational and time management skills Able to foster working relationships with leadership and other points of contact. Working knowledge of clinical operations and procedures preferred. Skills in computerized spreadsheeting and database management. •2-3 weeks of training in our Doral location, then employee will transition to our Coconut Grove location•Hours for this position are: 9 am to 5:30 pm. Pay starts at $50,000.00 plus mapping bonus.
