JOB SUMMARY
Responsible for assisting in the pre-cert training of Ancillary Service Coordinators in their job responsibilities, including prior authorization, insurance verification, scheduling within the prescribed guidelines, and assist with complex insurance authorization matters. Ensure all Ancillary services maintain efficient scheduling of MRI, Therapy, and EMG/EEG patients. Collaborate with OOC Administration, SST Rehab, Branch Managers, Physician Teams, and Ancillary Services Coordinators on initiatives to improve Ancillary operations. Provide pre-cert coverage for all Ancillary services as needed.

EDUCATIONAL REQUIREMENTS
High school diploma required Courses in medical terminology and office management preferred
QUALIFICATIONS AND EXPERIENCE
Previous experience in providing job training to new employees preferred Previous experience in therapy and diagnostics preferred Have understanding of medical terminology; some office management experience preferred Strong commercial insurance background; two plus years’ experience obtaining authorizations Proficient using email and word processing software Knowledge of practice management and electronic health record software Ability to perform multiple and diverse tasks simultaneously Strong written and verbal communication skills Strong customer service and telephone skills Ability to handle staff questions, problems, and resolve conflicts Efficient, organized, follows through on commitments Responsibilities include, but are not limited to, the following: Office Support Have a thorough understanding and be capable of performing all pre-cert and scheduling Ancillary Services Coordinator job responsibilities to be able to train staff and act as a backup when necessary. Generate a weekly report of Ancillary schedule efficiency by location; identify scheduling issues and develop an appropriate action plan to address the deficit(s) found and present to Ancillary Operations Supervisor weekly. Audit the pre-cert performance of all Ancillary Service Coordinators to ensure the proper processes are being followed. Relay findings to Ancillary Operations Supervisor and provide supplemental training / instruction as needed. Provide support as needed to all Ancillary Services Coordinators regarding complex insurance authorization matters (i.e., troubleshooting accepted insurances, retro authorizations, etc.). Assist Ancillary Operations Supervisor with addressing Ancillary pre-cert and scheduling patient complaints. When appropriate, resolve these complaints directly with the patient, otherwise escalate to upper management as needed. § Ensure Ancillary Service Coordinators are properly educated in how to communicate with patients regarding benefits, balances, co-pays, paperwork, etc. Ensure Ancillary Service Coordinators are appropriately trained to create insurance payers and attach the necessary authorization information to all payers. Ensure Ancillary Service Coordinators are correctly obtaining and documenting insurance benefits and authorization for Orlando Orthopaedic Center and outside facilities as needed. Serve as liaison between Orlando Orthopaedic Center and Rayus Radiology associates who provide scheduling services, insurance verification, and prior authorization on behalf of Orlando Orthopaedic Center. New Hires / Training Continuously improve the Ancillary Services Coordinator training program for new employees to ensure that established guidelines are followed. Train new Ancillary staff in related job functions and monitor progress to ensure successful onboarding. Create and implement a checkpoint system to track progress and ensures goals are met. Ensure all team members maintain a high level of customer service. General Administration Collaborate between OOC Administration, OOC Account Receivable, SST Rehab, Branch Managers, other Radiology facilities, Physician Teams and Ancillary Services Coordinators. Complete all other duties as assigned by upper management. Maintain detailed knowledge of practice management, electronic health record and other computer software as it relates to job functions. Participate as needed in staff meetings and Ancillary meetings to communicate new ideas, resolve problems, obtain feedback, and maintain the overall effectiveness of the therapy program. Ensure patient records are accurate and complete, and that patient confidentiality is strictly maintained. Understand HIPAA Privacy, OSHA and all other compliance guidelines. Ensure all Therapy Patient Registration Specialists are properly trained. Supervisory Responsibilities This job has no supervisory responsibilities. Typical Physical Demands Position requires extended sitting, some standing, bending, stooping, and stretching. Good eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator, and other office equipment is also required. Employee must have normal range of hearing and eyesight to record, prepare, and communicate appropriate reports. Employee will work under stressful conditions, and work irregular hours. Typical Working Conditions Normal office environment. Employee must work well under pressure and may be required to work flexible hours.
