Job Description
Practice Administrator Confidential Orlando, FL 32804 Overview We are seeking a dedicated and experienced Practice Administrator to oversee the operations of our medical clinic. This role is essential in ensuring the efficient management of the practice while providing high-quality patient care. The ideal candidate will possess strong leadership skills and a comprehensive understanding of medical office management, including human resources, medical records, and compliance with all required standards and regulations.
Duties Principal Responsibilities and Job Duties:
Coordinate all office activities to include scheduling of office staff to provide adequate coverage during clinic hours and keeping office staff informed of all pertinent information. Prepare and review business reports for the clinic. Manage all inquiries regarding billing and insurance in a positive manner. Supervise the balancing of each day’s transactions and prepare daily deposits. Provide input to practice owner for the purpose of setting goals and evaluating office staff activities. Participate in the planning of orientation for new clinic staff and supervise the implementation of the orientation program. Assist with monitoring the flow of intake of patients to include front office, triage room, and assisting the FNP on an as needed basis to exposition the office workflow. Keep abreast of the latest regulations regarding Medicare, Medicaid, and private insurers. Implement and supervise medical waste management and other compliance programs (OSHA, HIPAA, etc.) Calculate and track worked hours and benefit hours for each time period for each employee and accurately execute payroll. Maintain medical supply invoices in an organized fashion. Reconcile monthly lab bills. Responsible for the overall smooth function of the office. Administer human resource duties of the office including the hire, counsel, coach, and termination of personnel, within budgetary constraints, and to oversee staff compliance and disciplinary needs. The practice owner must beforehand review all terminations and promotions. Supervise the work of employees and provide feedback and counsel to improve efficiency and effectiveness through performance evaluations. Maintain and update office policies, as necessary. Plan in-house or off-site activities, like parties, celebrations, and/or conferences. Oversee patient complaints and file incidence reports accordingly. Manage all administrative aspects of communication with electronic health record point of contact (eclinicals) Monitor self-pay billing and aging performed by the billing coordinator and monitor any outstanding patient balances and collections submissions. Manage incoming mail and dispense accordingly and reconcile returned mail. Maintain QA/QI program in compliance with state law. Ensure adequate certification criteria is met for all employees. Develop goals and objectives that foster growth and prosperity with the owner. Oversee the ordering of all office supplies, stationery, and equipment to ensure that the company has adequate and suitable resources to complete its activities (e.g., people, material, equipment etc.) Organize and coordinate operations in ways that ensure maximum productivity. Maintain relationships with external partners/vendors/suppliers. Gather, analyze, and interpret external and internal data and provide reports. Assess overall company performance against objectives. At times, represent the company at events, conferences etc. Ensure adherence to all local, state, and federal legal laws, guidelines, and regulations. Schedule meetings and appointments within the office. Maintain the office condition and arrange necessary repairs as needed. Continuously monitor services provided and adjust hours, schedules, and staffing as required. Provide accounting of expenditures for cost report and income tax; and to prepare and provide cost report documentation as required. Assure promptness of accounts payable for each entity.
Qualification Requirements:

Two (2) verifiable years in front office management and supervision of office staff, preferably in the setting of healthcare. Proficiency in the delegation of acceptable principal responsibilities to capable staff members or third-party vendors. Comfort in displaying autonomy in decision making. Experience in business and accounting procedures. Knowledge of billing, ICD coding, posting charges and collecting pertinent data for statistics. Commitment to excellence in job performance. Strong organizational, planning, and leadership skills. Understanding of diverse business processes and strategy development. Knowledge of MS Office, databases, and information systems. Google drive experience a plus. Excellent time management skills and ability to multitask and prioritize work. Diligence and critical thinking skills. Excellent written and verbal communication skills. Experience with managing an ACO Healthcare Organization An inventive mind with an ability to suggest improvements. The ability to lead people effectively according to their management needs and exhibit sound judgment. BS/BA in
