Key Responsibilities:

Be the Face of Our Practice Greet each patient with warmth, energy, and professionalism Set the tone for an exceptional visit through friendliness, confidence, and care Make each guest feel valued, heard, and supported Multi-Task Like a Pro Answer a multi-line phone system with grace and professionalism Schedule appointments accurately and efficiently across multiple providers and locations Manage check-ins, check-outs, and patient flow seamlessly Educate & Spark Interest in Services & Products Confidently answer basic questions about all treatments offered to generate curiosity and interest Help patients understand what’s available before they meet with a provider — you’re the first step in the consultation journey! Support product sales by recommending medical-grade skincare that aligns with the patient’s goals and treatments Accurate Billing & Payment Handling Handle cash, credit card, and CareCredit transactions with confidence Perform accurate end-of-day cash reconciliation and reporting Calculate and apply appropriate discounts, promotions, or packages with strong math and billing accuracy Maintain meticulous records and communicate clearly about charges and payments Comfortable with Warm Sales & Outreach Make confident outbound calls for appointment reminders, follow-ups, and rebooking opportunities Communicate promotions and campaigns to help drive patient re-engagement Upsell products and support internal growth initiatives with strong communication skills Support the Team Pitch in where needed — from prepping treatment rooms to restocking and assisting colleagues Perform opening and closing procedures and support day-to-day operational success Be solution-oriented and ready to adapt to whatever the day brings

Qualifications:

2+ years of retail sales and/or customer service (required) 1+ year working in an medspa or dermatology practice (preferred) 1+ year in a front desk, concierge, or administrative role (required) Proficiency in basic math and handling payments Excellent written and verbal communication skills Must be available Monday-Friday (some weekend flexibility may be required)
