Essential Job Responsibilities:
Greets patients and guests and assists them as appropriate. Phones or pages employees to meet visitors, directs visitors to appropriate waiting areas, and appropriately and courteously screen solicitors for relevance to organization needs. Monitors patient flow in lobby to ensure clinic efficiency and avoid long patient wait times with no follow up. Offers patients/visitors magazines and informs them of the location of water in the lobby. Ensures that the lobby is clean and well-maintained. Utilizes medical office intake program Phreesia for patient check-in and registration process. Registers patients according to practice guidelines. Verifies insurance coverage, patient demographics and updates charts. Daily verification of patient’s insurance and review of co-payments & past due balances prior to scheduled appointment. Collects and post records payments including co-payments, past due balances and deductibles. Set up payment plans when applicable with patient’s balance. Manage incoming faxes and send to the correct department. Set high priority for reauthorizations and prescription refills. Calls patients the day before appointment to confirm appointment time and location. Cross train with New Patient Care Coordinators and Referral/Authorization Coordinators. Requests referrals and prior authorizations when needed. Schedules patient appointments. Closes Journal in EMR at end of the day. Registers patients in our Patient Portal with their email in the EHR. Monitors emails, faxes and messages from IDATB employees and other offices. Scans images into patient chart. Monitors and completes tasks within EHR. Manages the Office Med Rep Lunch Schedule in the planner & calendar, and call to confirm the day before. Ensures office breakroom and lobby refreshments are stocked and organized. Adheres to quality control and confidentiality/HIPAA & OSHA procedures. Other duties as assigned.

Hours:
Monday-Friday 8:00am-5:00pm (May be asked to come in early or stay late depending on clinic and patient needs).
General Summary:
A nonexempt position responsible for performing duties including clerical and organizational tasks & provides the first customer contact for patients who come into the office.
Education:
High school diploma or general equivalency diploma (GED)•Required. Bachelor’s Degree•Preferred.
Experience:
Minimum one year of recent experience working in a medical office environment•Preferred.

Health care field and medical office protocols/procedures. IDATB policies and procedures related to respective job functions.
Insurance Verification Skills:
Tact and diplomacy in interpersonal interactions. Excellent oral and written communication skills. Phone skills Detail oriented.

Work Environment:
Position is in a medical office environment. Environmental hazards may be unpredictable including exposure to communicable diseases and biohazards.
