Clinic Office Manager Prevention 727 3000 1st Avenue North, Saint Petersburg, FL 33713 Job Summary Prevention 305 is seeking a dedicated and experienced Office Manager to oversee the daily operations of our growing satellite clinic. The ideal candidate will possess strong leadership skills and a comprehensive understanding of healthcare management, ensuring that our offices run smoothly and efficiently. This role involves managing staff, coordinating patient care, and maintaining compliance with healthcare regulations while fostering a positive environment for both patients and employees. You will report directly to the practice manager and administrative team. The 727 Office Manager is responsible for managing the work of all clinical and non-clinical team members to ensure service delivery in practice and all operational aspects within a specified practice(s) to achieve excellent customer service, quality, cost, and delivery performance in line with company strategy, goals, and values. The office Manager is responsible for working with the administrative team to oversee the clinical and administrative aspects of the practice(s), including practice profitability, revenue goals and HIV adherence metrics. This includes accountability for clinical quality of care, customer satisfaction, staff satisfaction, productivity, revenue enhancement, managed care performance, staff leadership and assuring adequate access for patients. Responsibilities Supervise and manage office staff, including assisting the Practice Manager with hiring, training, and performance evaluations. Oversee scheduling of appointments and ensure efficient patient flow within the office. Manage minor fiscal responsibilities including budgeting and resource allocation. Accountable, along with the administration and Practice manager, for the financial performance of the practice. Ensure compliance with healthcare regulations and maintain accurate medical records using EClinical Works. Coordinate with healthcare providers to enhance patient care services. Implement policies and procedures with the Practice Manager that improve operational efficiency while maintaining high standards of patient care. Address patient inquiries and resolve any issues related to their experience in the office. Provide support and direction to enhance performance, skills, and knowledge of practice team within the practice(s). This includes ensuring employees receive proper on boarding, training, and monitoring of each team member’s performance. Ensure operations run smoothly daily. This includes promoting positive patient experiences, reviews, team members job satisfaction, workplace efficiency, shorter wait times, and completion of tasks. Maintain inventory of medical supplies and equipment necessary for daily operations. Troubleshoot and resolve problems such as non-working equipment, patient complaints, inefficiencies, workplace conflicts, and other items that may disrupt operations. Manages office staff – hiring, training, supervising, evaluating, disciplining and terminating. Promotes educational opportunities for staff and providers; develops future leadership within the office. Coordinates the scheduling of provider. Compliance Responsibilities -Assures the practice’s compliance with federal, state and safety regulations. Qualifications Proven experience in healthcare management or medical office administration is required. Thorough understanding of medical front office operations including reception/registration, scheduling, determination of eligibility, prior authorizations, and collection of copays/outstanding patient balances A college degree is preferred or equivalent experience in healthcare management Familiarity with HIV Care and Sexual healthcare operations and fiscal management practices is essential. Working knowledge of medical billing and insurance protocols. Experience with medical management software such as EClinical Works is preferred. Lead by example and word. Excellent supervisory skills with a focus on team development and motivation. Ability to work in a fast-paced environment while maintaining attention to detail.
