Non-Exempt General Summary The Lead Business Administrator plays a vital leadership role in overseeing front office operations, supervising administrative staff, and ensuring a high standard of service and efficiency at the Community Dental Clinic (CDC). This position is responsible for managing patient intake processes, guiding team workflows, and collaborating with clinical and executive leadership to support CDC’s mission of delivering compassionate, accessible dental care. The ideal candidate will be a strategic thinker, a confident communicator, and a hands-on leader with a strong understanding of dental office operations, excellent organizational skills, and a commitment to continuous improvement. Key Leadership Responsibilities Supervise and mentor front office staff, providing training, feedback, and performance evaluations to ensure consistency and excellence in patient service. Serve as the point of contact for administrative concerns, escalating complex issues to the Dental Director or Executive Director as appropriate. Develop and implement front office protocols that promote operational efficiency and patient satisfaction. Coordinate onboarding and training for new administrative team members and volunteers. Monitor and manage patient flow, ensuring daily scheduling aligns with clinic productivity goals and dentist availability. Oversee front office communications, ensuring accuracy and professionalism in all interactions with patients, staff, and community partners. Lead front office meetings and contribute to organization-wide planning sessions. Assist with quality improvement initiatives, using data and feedback to enhance patient experience and operational outcomes. Core Administrative Responsibilities Screen and interview new patients for eligibility and compliance with Sovereign Immunity guidelines. Schedule, confirm, and follow up on patient appointments using Dentrix. Maintain accurate patient records, lab slips, referrals, and intake documentation. Prepare and present financial treatment plans to patients. Coordinate with lab services and track case statuses. Maintain office inventory and ensure readiness of supplies and reception areas. Assist leadership with project-based assignments and routine reporting. Ensure compliance with HIPAA, clinic policies, and patient confidentiality protocols. Qualifications & Experience High school diploma or equivalent required; associate degree or higher preferred. Minimum 2 years of dental office experience, with leadership or supervisory experience strongly preferred. EFDA or CDA certification preferred. Advanced proficiency in Microsoft Office (Excel, PowerPoint). Experience with Dentrix or similar dental practice management software. Key Competencies Strong leadership and team development skills. Bio-waste handling certification (provided). Work Schedule and Expectations Monday-Friday, 7-8-hour shifts. Occasional after-hours events or emergency coverage as needed. Work Conditions Requires walking, standing, bending, and lifting up to 30 pounds. Must be able to work in both indoor and outdoor settings.
