Verify patient information, insurance, and required documentation. Schedule, confirm, and reschedule appointments efficiently. Administrative Support Maintain accurate records in the EHR/EMR system. Process new patient intakes, consent forms, and confidentiality agreements. Assist clinicians and office staff with administrative tasks as needed. Communication & Coordination Answer phones, respond to voicemails, and route calls appropriately. Coordinate communication between patients, therapists, and billing staff. Provide information on clinic policies, services, and procedures. Billing & Insurance Verify insurance benefits and obtain prior authorizations when needed. Collect co-pays and process payments at the time of service. Coordinate with billing teams to address insurance or payment issues. Crisis Management Support Recognize signs of patient distress and escalate to clinical staff appropriately. Maintain professionalism and discretion in emotionally sensitive situations. Confidentiality & Compliance Adhere to HIPAA and other confidentiality standards. Ensure all records and communications are secure and compliant. Office Management Support Keep waiting areas clean and organized. Order and manage office supplies. Assist with special projects, audits, or reporting as needed.
