Imaging Department Job Summary:
Responsible for assisting Practice Manager in clerical aspects of the radiology practice. Supervises all clerical staff on a day-to-day basis, and ensures patients are checked in/out and that patient procedure orders are processed timely, patients scheduled and benefits for all patients are obtained from insurance carriers and documented in all systems. This is a working supervisor position and works in any imaging clerical position as required.
Requirements:
The incumbent must possess outstanding interpersonal skills and be capable of dealing with physicians and staff. This position requires a highly motivated individual with a positive attitude towards the patients, physicians, fellow employees and subordinates. Five (5) years work experience preferable in a medical office setting and two (2) years in a supervisory role. Knowledge of medical terminology desired. Word processing and computer experience.
Supervisory Responsibilities:
Oversees and supervises clerical staff within the Imaging Department. Assigns daily tasks and monitors performance to ensure high standards of productivity and accuracy. Provides coaching, mentorship, and ongoing feedback to clerical team members. Conducts performance evaluations and participates in hiring and disciplinary actions in collaboration with department leadership. Ensures clerical staff compliance with departmental policies, procedures, and quality standards. Facilitates staff training and professional development opportunities. Promotes a positive team environment and addresses staff concerns promptly and professionally. Performs or assists with other non-clinical duties, as assigned by the Supervisor.
Other Responsibilities:
Books, coordinates and reschedules patient appointments. Relays necessary messages to staff. Communicate with patients in a prompt, pleasant and helpful manner. Schedule new and existing patients by modality. If an interpreter or translation service is needed, arrangements will be made and documented in the scheduling system. Collect and verifies patient demographic information and updates patient profile in the computer. Maintain and updates current information on modality schedules ensuring that patients are scheduled properly and appointments are confirmed. Answer telephones, screens calls, and provides general information. Answer questions regarding patient appointments and schedules outpatient appointments. Position requires application of special instructions and procedural information to identify type of procedure requested and correctly schedule rooms. Enter various data by modality into RIS system, verifies the accuracy of data input and corrects errors on patient orders. Provide radiology services by directing and coordinating the services of radiology and diagnostic imaging procedures. Accomplish radiology human resource objectives by selecting, orienting, training, assigning, scheduling, and coaching; communicating job expectations; planning, monitoring, appraising job contributions; recommending compensation, counseling, and discipline actions; adhering to company and department policies and procedures. Meet radiology operational standards by contributing information to strategic plans and reviews; implementing production, productivity, quality, and patient-service standards; resolving problems; identifying system improvements. Support patient care by resolving radiology scheduling issues with physicians, radiologists, radiology technologists, and ancillary staff; improving and maintaining quality assurance program for department functions. Provides and monitor dashboard reports by controlling the collection of scheduling data by scheduler. Analyze, initiate and enact systems to fully maximize department resources to best serve patients. Report issues and inconsistencies to the Manager when appropriate. Assist in the development of new systems to improve service.
Education:
High School Diploma/ GED required. Associates degree or higher education in business management or healthcare management strongly preferred.
