Job Summary:
The Intake Specialist plays a critical role in the patient admission process. This team member is responsible for gathering, verifying, and coordinating all necessary information to ensure patients are smoothly and compliantly enrolled in our client’s home infusion services. The Intake Specialist serves as a liaison between referral sources, patients, payors, and internal clinical and operational teams to support a seamless start of care.
Key Responsibilities:
Receive and process all new patient referrals promptly and accurately.
Obtain and verify patient demographics, insurance coverage, clinical documentation, and physician orders.
Perform benefit investigations and coordinate prior authorizations with payors as needed.
Communicate with referral sources (physicians, case managers, hospitals, specialty clinics) to clarify and complete required information.
Ensure all necessary documentation and consents are obtained for insurance billing and compliance.
Enter patient data accurately into the pharmacy’s electronic systems.
Coordinate with pharmacists, nurses, reimbursement specialists, and delivery teams to support timely initiation of therapy.
Maintain detailed and organized intake records in compliance with HIPAA, accreditation standards, and company policies.
Provide excellent customer service to patients and referral partners throughout the intake process.
Assist with other administrative tasks related to intake, reimbursement, and patient care coordination as needed.
Qualifications:
High school diploma or equivalent required; Associate’s or Bachelor’s degree in healthcare administration or related field preferred.
Must be a licensed pharmacy technician or willingness to become a licensed pharmacy technician after starting.
Minimum of 1-2 years experience in a healthcare intake, prior authorization, patient services, or medical office role; home infusion, specialty pharmacy, or durable medical equipment (DME) experience strongly preferred.
Working knowledge of insurance benefit verification, prior authorizations, and medical terminology.
Familiarity with infusion therapy or specialty medications is a plus.
Excellent interpersonal, organizational, and communication skills.
Proficiency with Microsoft Office (Word, Excel, Outlook) and experience with electronic health record (EHR) systems.
Ability to handle confidential information in compliance with HIPAA requirements.
Strong attention to detail and ability to multitask in a fast-paced environment.
