Job Description Responsible for organizing and managing office operations and procedures to ensure effective and efficient daily operations and the delivery of quality and safe patient care. Also responsible for training and development of assigned staff including hiring decisions, discipline, and staff evaluations. Experience 4 years of experience in administrative/secretarial or business operations Preferred Qualifications Bachelor’s degree in business or related field Experience in healthcare Knowledge of medical terminology Experience in budget/financial reporting Education High school diploma or equivalent Certification Summary No professional certifications required Knowledge, Skills, and Abilities Strong customer service skills Excellent written/verbal and time management skills Must be able to work independently and possess ability to make independent decisions when circumstances warrant such action Demonstrated ability to hold others accountable Proficiency in Microsoft Office Suite and other Windows-based applications Job Responsibilities Coordinates operational activities of assigned department, including supply maintenance, facilities management requests, networking with other departments and vendors as appropriate, and other office needs as they arise. Monitors and coordinates day-to-day financial administrative activities, including submitting invoices, charge reconciliation, billing, and accounts payable. Ensures timely completion of timekeeping activities in compliance with Children’s policies. Monitors and maintains staff schedules; reviews and verifies employee records, transfers payroll hours as directed, and informs manager of any discrepancies. Creates standard and ad hoc departmental reports by compiling, analyzing, and reviewing information from multiple sources. Assists with the preparation and auditing of the departmental or project budget(s) and tracking/monitoring of related expenses. Evaluates current processes and assists with implementing process improvement initiatives. Manages the day-to-day operations of the staff, including, but not limited to, work assignments, task management, time tracking/management, and on-the-job training. Participates actively in the interview process, training, and performance appraisals. Takes an active role in coaching and mentoring the team to ensure continued employee growth and success, both on the team and at the broader Children’s organization. May provide disciplinary actions up to and including termination. Assists manager with employee performance evaluations and hiring decisions. May serve on special projects/committees or act as department representative as necessary. Performs other department-specific duties and other assignments as appropriate.
