Job Summary Responsible for operational and administrative support of the organized medical staff(s) under Northeast Georgia Health Systems, to include the medical centers of Gainesville, Braselton, Barrow, and Lumpkin. Effectively manages the approval workflows of medical staff and Advance Practice Professional members files for initial and reappointment applications. Maintains medical staff privileges and membership. Facilitates Medical Staff Meetings. Functions as a liaison between the Medical Staff and Medical Center Boards, as well as employed or non-employed medical groups. Maintains knowledge and compliance to regulatory and Bylaw requirements. Minimum Job Qualifications Licensure or other certifications:

Willing to work flexible hours to meet the needs of the department Knowledge of Medical staff organization, DNV, CMS and state of Georgia regulatory standards preferred Essential Tasks and Responsibilities Coordinates the approval process of all medical staff applications, reapplications, additional privilege requests, resignations, status changes through respective department chief, Credentials Committee, Medical Executive Committee(s) and Board(s). Coordinates the approval process for expedited files according to policy to include: application appropriateness, scheduling of expedited approval meeting, agenda, and minutes. Coordinates the post-approval process to include: SAR forms, notification to appropriate departments/personnel and updating appropriate databases and websites.
Coordinates orientation to include:
Calendar Dates, scheduling practitioners, Presenter availability, day-of flow, Orientation check-off by practitioner for documentation of required item, DNV compliance. Reviews list of reappointments on a monthly basis and communicates to Credentialing Coordinators any omissions or other errors. Upon notification of expiration of required elements of medical staff membership, initiates suspension or action dictated by medical staff bylaws for failure to maintain current license, certification, insurance, etc. and notification to Credentialing Coordinators of any change in status. Coordination of Medical Staff Committee Meetings to include: scheduling, agenda, packet information, taking minutes and performing any follow-up activities [Medicine Department, Surgery Department, Anesthesia Department, Bylaws, Credentials Committee, and Medical Executive Committee]. Maintains and coordinates Focused Professional Practice Evaluation(PFE) activities on all new practitioners and practitioners granted new privileges. This includes providing initial notification, respective follow-up, maintaining/filing completed forms, obtaining appropriate approval of completion through department chief and medical staff committees and notification of completion of PFE to practitioner. Coordination of Wellness Activities to include: meeting scheduling, agenda, packet information, taking minutes and performing any follow-up activities. Coordination with GA PHP or other approved committee activity. Tracking and monitoring of practitioners throughout Wellness activities, including report outs to appropriate bodies. Coordination of Bylaws Activities to include: meeting scheduling, agenda, packet information, taking minutes and performing any follow-up activities. Coordination with committee members, annual review of policies, requested changes to Bylaws, Rules and Regulations, and Organizational Manual. Appropriate communication of changes to Medical Executive Committee(s) and Board(s). Maintains facility-specific information in the provider database on all medical staff practitioners to include: meeting and department attendance records, wellness, PFE, Practitioner Specific Profiles (PSP), and Board Approval Letters. Maintains and coordinates Medical Staff Committee rosters to include: tracking of committee members terms, assigning of new committee members with the Chief of Staff, distribution of rosters to appropriate teams, distribution of committee letters to practitioners, signing of privacy statements, and thank you resignation letters from committee. Maintains medical staff committee member contracts and paycheck submissions for the Chief of Staff, Vice-Chief of Staff, PRC Committee Chairs, appointed Department Chiefs, and Credentials Committee Chair. Maintains medical staff committee member contracts and paycheck submissions for the Chief of Staff, Vice-Chief of Staff, PRC Committee Chairs, appointed Department Chiefs, and Credentials Committee Chair. Maintains medical staff checkbook and provides updates to Chief of Staff of account balances on a regular basis. Coordinates the review and approvals of all medical staff policies and procedures. Ensures NGHS policy and procedure system (MCN) remains up to date. Reviews and updates on a regular basis (minimum every three years) the specialty specific privilege forms for all medical center facilitates ensuring that privileges reflect current facility availability. In addition, processes any requests for changes or additions to specialty specific privilege forms including approval from Department Chief through NGMC Boards. Assists in the planning, implementation, execution and evaluation of special projects or special medical staff events. Maintains current knowledge of certification standards necessary to perform the duties herein. Ensure compliance with DNV, CMS, medical staff bylaws, and state/federal requirements. Actively participates in all accreditation processes and regulatory site visits. Maintains compliance and promotes quality customer service. Reports controversial issues to the Director. Collaborates with SMSVS staff to resolve practitioner satisfaction issues ensuring concerns are investigated, reported, and appropriate action is taken to resolve issues. Contributes to the success of the Department, Hospital and System by actively participating in setting and accomplishing goals and objectives. Participates in Quest for Excellence activities by contributing suggestions, experience and expertise to promote efficiency and excellent outcomes. Develops, reviews and updates standard work, department policies and procedures pertaining to individual duties and responsibilities to ensure department compliance with all state, regulatory and hospital requirements. Contributes routinely to his/her own professional growth and that of the department and professional colleagues. Participates in departmental daily huddles. Uses Error Prevention Tools on an ongoing basis.
