Medical Front Office Administrator Prosthetics & Orthotics Company Southaven, MS 38671

Job Purpose:

Greeting patients and visitors, answering inquiries in person and over the phone. Provide administrative and clerical support to others in the office to preserve an efficient office environment. Maintain a professional work environment that provides optimal patient care. Assist Business Office Manager and Accounts Payable Clerk with administrative functions.

Duties and Responsibilities:

Welcomes patients and visitors to office, maintaining reception area, escorting patients to treatment room, cleaning treatment rooms and office. Updates and prints patient schedule each day. Maintains patient’s accounts by obtaining, recording, scanning photo, personal and financial information in system. Data entry into complex patient billing system, (OPIE), recording and verifying, pre-authorizing and updating insurance, re-verify insurance upon notification of delivery. Record and collect patient payments, complete bank deposits and make bank runs. Sends and receive faxes. Ensures availability of treatment information by filing and retrieving patient records accurately in computer system, (OPIE). Performs WIP with Business Manager weekly to ensure compliance with billing standards is maintained. Schedules appointments, keeps Practitioners on schedule, reviewing service delivery compared to schedule reminding practitioner of service delays, while optimizing patient satisfaction with time of appointment, and length of time in waiting room. Orders and receives prescribed equipment in OPIE Lite, maintains office inventory and equipment by checking stock to determine inventory level, anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of schedules; scheduling equipment and services and repairs. Protects patient’s rights by maintaining confidentiality of personal and financial records, ensuring this information is stored securely and handled in compliance with HIPAA privacy and security regulations. Answers phones and transfers to the appropriate staff member, taking messages and distributing accordingly, coordinates messenger and courier service, receives, sorts and distributes incoming mail, prepares outgoing mail for distribution, monitors incoming emails and answers or forwards as required. Maintains First Aid, HIPAA and OSHA logs, for Fire and Safety drills. Maintains operations by following policies and procedures, reporting needed changes. Assist Business Office Manager and Accounts Payable Clerk with administrative functions. Contributes to team effort by accomplishing related results as needed. Trains new personnel as needed. May have other duties not described in this document, based on office location and specific duties assigned by Business Office Manager. Duties involve this employee to have good listening skills and excellent verbal communication skills. “

” Skills and qualifications: Must be familiar with HIPAA and OSHA compliance CPR trained and certified preferred 2 years previous medical office experience. Experience with Medical Terminology, preferred but not required. Great organizational, verbal and written communications skills with emphasis on attention to details Strong interpersonal skills; competent computer skills including MS Office Suite, numeracy, problem solving, and literacy skills. Must be flexible, reliable and a great team player. All Applicants are required to complete a background and drug screening.
