To supervise, coordinate, and manage operations support personnel with provider schedules. To maximize customer service, patient access, provider productivity, and business operations. To be responsible for the creation of and maintenance of all Pediatric providers’ templates and clinic schedules. Monitor visit type use, managing the providers attached to each Epic department and overall template maintenance in Epic for Children’s of MS providers ambulatory clinics. To supervise and evaluate a large team of 20 or more FTE’s including Physician Schedulers, team leads and others. To be responsible for the training of all team members including their performance and behavior and to ensure they are given timely reviews of their job performance and behavior. To complete the pre-registration process including using practice management software to track demographics. To make referrals for financial counseling and/or physician referrals/authorizations/certifications. To provide education and training to support personnel with regards to software, customer service, interpretation of demographics, payor codes, billing methods, and patient education of insurance, financial counseling, and pay agreements.
Education & Experience Education and Experience Required:
Degree (Bachelor’s or Associate) with a minimum of three years of telephone or call center experience, including at least one year in a supervisory capacity.
Certifications, Licenses, or Registration Required:
NA Knowledge, Skills & Abilities Knowledge of call center operations and procedures and/or medical office procedures. Excellent verbal and written communication skills. Interpersonal skills. Skill in the use of computers and relevant software applications to include Call center software and EMR Scheduling software. Ability to work in a team environment. Ability to verify data. Knowledge of medical procedures, CPT and ICD-9 codes. Basic accounting skills preferred. Bilingual skills helpful. Responsibilities Directly manages a team of schedulers including their daily responsibilities, onboarding and training, Human Resources review schedule and overall performance and behavior. Manage and create the templates for pediatric providers including, but not limited to, all of the Department of Pediatric providers and the Surgical Pediatric providers within the Department of Surgery. Analyze and implement processes and procedures to increase schedule adherence and increase patient and provider satisfaction related to and not limited to show rates, schedule utilization, template utilization, MyChart adoption, Meet with Department Chairs, Division Chiefs and/or providers on a routine basis to ensure provider level satisfaction related to their clinic templates and the performance of the schedulers managing the patient’s calls for appointments. Federal program eligibility and benefits are approved prior to patient arrival with 95% accuracy. Updates referrals and approvals prior to patient’s subsequent visits. Refers self-pay patient to financial counseling prior to scheduling patient appointment. Identifies strategies to improve operational efficiency of the scheduling process. Continues the ongoing educational and training process to keep current on pre-registration processes, registration, business operations, and payor contract interpretation skills. Maintains excellent customer service skills with patient, providers, physician, and other members of the healthcare team. Addresses issues of poor communication, and customer service with coordinators. Monitors customer service to ensure that coordinators are courteous and respectful in advisement of patient of discrepancies or other communication for financial assistance.
