GENERAL STATEMENT OF FUNCTION
The Administrative Assistant supports the Director of Healthcare Simulation and Workforce by performing a wide range of administrative, clerical, and organizational duties. This role ensures the smooth daily operation of both Simulation and Workforce functions by managing communications, scheduling, documentation, and logistical coordination. The Administrative Assistant serves as a key liaison between the Director, internal departments, external stakeholders, and program participants, contributing to the efficient and professional delivery of all program-related activities. DUTIES AND RESPONSIBILITIES
1. Serves as the Administrative Assistant to the Healthcare Simulation & Workforce Director. 2. Produce letters, reports and minutes from rough drafts utilizing word processing skills. 3. Maintain an accurate and complete filing system. 4. Maintain compliance folders for campus nursing program. 5. Maintain office supplies and travel reports. 6. Monitor expenditures and budgets. 7. Compose routine correspondence. 8. Assist with printing requests. 9. Maintain an effective working relationship with college personnel, students and the community. 10. Handle telephone calls in an effective and professional manner. 11. Arrange for college vehicles, transportation, reservations, and lodging requirements. 12. Upgrade skill level and performance through staff development. 13. Prepare specifications for quotes and bid tabulations as required. 14. Demonstrate exceptional adherence to work schedules and policies as exemplary performance for co-workers and subordinates. 15. Supervise and schedule student worker when appropriate. 16. Process procurement card purchases and/or budget requisitions. 17. Compile & maintain data for state reports and accreditation reports. 18. Verify and monitor simulation and continuing education budgets for accuracy. 19. Purchase items for simulation and continuing education programs. 20. Purchase supplies and equipment and maintain detailed record of purchase. 21. Maintain inventory for major and minor equipment. 22. Develop and maintain Access databases and Excel spreadsheets. 23. Input student data and program data into
BANNER. 24.
Perform other duties as assigned by the Director. Mandatory Qualifications (M1) Minimum of an Associate Degree from a regionally accredited institution. (M2) Proficiency in Microsoft Office Suite and digital communication tools
- including Outlook, Word, Excel, Teams, and Zoom/Webex. (M3) Strong organizational and communication skills
- with the ability to manage multiple priorities and maintain confidentiality. (M4) Effective written and verbal communication skills. Desirable Qualifications (D1) Bachelor’s degree in business or related field. (D2) Experience supporting simulation or workforce development programs
- including familiarity with scheduling labs, equipment tracking, or credentialing. (D3) knowledge of institutional systems
- such as Banner or other higher education platforms. (D4) Proven experience in administrative support roles
- minimum of 2 years, preferably in healthcare, education, or workforce development settings.
