Operating for over thirty years, we have a longstanding commitment to patient-centered care. We have seven clinics, welcome walk-in appointments, offer telehealth services, and are open Monday to Saturday to ensure accessibility and convenience for our patients. Our services range from internal medicine and pediatric care to psychiatric counseling and on-site diagnostic evaluations. Our goal is to close gaps in healthcare by providing comprehensive, coordinated care. Position highlights First Care Medical Clinic is seeking a proactive, energetic, and accountable Clinic Manager to oversee the day-to-day operations of one of our seven medical offices. This full-time role, based in Charlotte, NC, is crucial for driving consistent, high-quality operations in the location. You will spend time in the clinic daily, initially shadowing to understand current processes, and then actively supervising, managing, and training the clinic staff. The Clinic Manager will work 5 days per week including occasional Saturdays each month. Responsibilities Your key responsibilities will include:

Operational Oversight :

Oversee and master all responsibilities of a Medical Assistant at First Care Medical Clinic, including front desk operations, patient triage, clinical support, and lab procedures. Manage and create the staff schedule, approve vacation requests, and address staffing outages to ensure adequate coverage. Lead daily huddles with staff to review daily objectives, address issues, and foster team communication. Ensure all clinic staff effectively manage the front desk, aiming for a zero-error rate in verifying demographic information, insurance coverage, collecting deductibles and co-pays, and scheduling follow-up appointments. Monitor and maintain clinic supplies, ensuring all necessary items are fully stocked at all times. Ensure all medical equipment is consistently in working order, promptly addressing any malfunctions. Identify and report operational issues within the clinic building (e.g., broken doors, light outages, appliance malfunctions) and ensure their timely resolution. Ensure the clinic operates in strict adherence to all defined First Care Medical Clinic protocols and standards. Oversee clinic cleanliness, ensuring the environment meets medical standards and provides a clean space for patients and staff.

Staff Leadership & Development :

Hold staff accountable for punctuality and adherence to work schedules. Train and mentor staff to become proficient medical assistants, supporting their professional development. Coach staff on best practices for customer service, ensuring the delivery of an exceptional patient experience.

Patient & Program Support :

Identify patients who require transportation for visits and coordinate arrangements for them. Support the execution of population health management programs, including Chronic Care Management, Remote Patient Monitoring, Advanced Primary Care Management, and the Collaborative Care Model.

Qualifications:

To excel in this role, you should possess:

Education :

Bachelor’s degree in Healthcare Administration, Business Administration, Public Health, or a related field. Master’s degree in Healthcare Administration (MHA) or a related field preferred.

Experience :

Minimum of 3-5 years of progressive experience in a healthcare setting, with at least 2 years in a supervisory or management role. Proven experience as a Medical Assistant, Nurse, or in a similar clinical support role is highly desirable. Demonstrated experience in managing clinic operations, including scheduling, inventory, and facility maintenance. Familiarity with electronic health records (EHR) systems and healthcare management software. Experience with population health management programs is a plus.

Skills :

Exceptional leadership and team management abilities, with a proven track record of motivating and developing staff. Strong organizational and time management skills, with the ability to prioritize and manage multiple tasks effectively in a fast-paced environment. Excellent written and verbal communication skills, including the ability to communicate clearly and empathetically with staff, patients, and external partners. Strong problem-solving and critical thinking skills, with an analytical mindset to identify areas for improvement and implement effective solutions. Knowledge of healthcare regulations, compliance standards (e.g., HIPAA), and best practices. A strong patient-centered approach to care and customer service. Adaptability and flexibility to respond to dynamic clinic needs. Reporting Structure The Clinic Manager will report directly to the Operations Manager. This Clinic Manager role will oversee all clinic staff, including Medical Assistants, Front Desk staff, and other clinical support personnel.
