Job Description:

Carolina Community Group is seeking a dedicated and organized Office Coordinator to join our team. This hybrid role is perfect for a professional who thrives in a dynamic environment, balancing both administrative duties and client coordination. The Office Coordinator will play a key role in ensuring smooth operations across client intake, scheduling, and resource coordination.

Key Responsibilities:

Verify client insurance eligibility through NCTracks. Conduct new client intake sessions via phone. Ensure timely completion of new client intake forms. Follow up on client referrals and coordinate next steps. Collaborate with the clinical team to schedule client assessments Schedule client outpatient therapy sessions, and other necessary services. Submit prior authorization requests to insurance panels. Create, update, and manage client charts, ensuring accuracy and compliance. Coordinate client resources and referrals on a case-by-case basis. Attend weekly team meetings (virtual or in-person as required).

Qualifications:

Minimum of 2 years of experience in a similar role, preferably in a behavioral health. Highly organized with excellent attention to detail. Proficient in Microsoft Excel. Experience with client management software (SimplePractice) is a plus. Strong communication skills, with the ability to manage multiple tasks and follow ups. Ability to work both independently and collaboratively with a remote team.

Work Environment:

This is a hybrid role with flexibility to work from home, with the expectation to be in the office 2-3 times per month for meetings or other essential duties. How to
