New Patient Care Coordinator Summary:
The New Patient Care Coordinator is the first point of contact for prospective patients within the Advaita Collective system. This role demands a professional, courteous, and intentional approach in a fast-paced, goal-oriented environment. The Coordinator should be highly organized and customer service-oriented, always ready to assist AIM team members, potential clients, referents, and family members. As a critical member of the admissions team, the Coordinator must be a critical thinker, able to work independently, and possess the clinical experience or training necessary to triage calls based on need and urgency.
Duties & Responsibilities:
Manage and triage incoming phone calls, providing enthusiastic and personable support to prospective clients and referral sources. Conduct initial client screenings, schedule appointments for appropriate levels of care, and provide suitable referrals. Proactively reach out to potential patients to schedule appointments, focusing on new patient acquisition and appropriate placement within the Advaita Collective system. Maintain an organized and comprehensive pipeline of leads. Offer personalized assistance in understanding insurance coverage and benefits, ensuring clients are informed financial participants in their healthcare process. Address concerns or objections with a solutions-oriented approach, utilizing effective retention strategies to ensure patient loyalty. Liaise with various departments within the Advaita Collective to ensure efficient and accurate internal referrals. Diligently document client intake to ensure all paperwork is completed before the patient’s first appointment. Provide support to other administrative team members as needed, contributing to smooth operational effectiveness and a positive, problem-solving environment. Meet department KPIs for scheduling new medication management and therapy patients daily. Schedule and coordinate visits and tours to AIM. Update and manage AIM’s EMR and any necessary accessory documentation systems to ensure smooth reporting.
Minimum Qualifications:
Bachelor’s degree Experience in the substance abuse or mental health field preferred Ability to work in a fast-paced environment
