Job Description :
The Controller/Medical Practice Administrator for Regional Medical Oncology Center (RMOC) will be responsible for overseeing and managing the day-to-day financial and business operations of the practice including overseeing a staff of approximately 40+ employees who report to four (4) managers. The Controller/Medical Practice Administrator will partner with the physician CEO to develop new business growth while maintaining a focus on the overall mission and finances of the Oncology and Hematology practice. The controller/medical practice administrator needs to be a dynamic individual who is enthusiastic, organized and a collaborator. He/she should be skilled in finance, managing projects, people, can negotiate contracts with insurance providers, vendors and oversee the practice operations. He/she will be responsible for creating both operational and financial reports to share with the physician CEO/and or shareholders on the practice operations. The controller/medical practice administrator should have good leadership skills to shape the workplace culture and mentor employees. The controller/medical practice administrator will need to demonstrate good judgment in a variety of situations and have an excellent ability to multi-task and manage a variety of teams and issues at once. This position places a emphasis on candidates holding a Controllership in previous organizations.
Management Responsibilities :
- The Controller/medical practice administrator has four (4) direct reports, Billing and Central Business Office Manager, Clinical Manager of Lab and Pods, Clinical Nurse Manager of the Infusion Center, and Clinical Trials Research RN.
- Schedule monthly and ad hoc financial and operations meetings.
- Evaluate office production and develop new techniques to improve office efficiency and workflow.
- Be forward thinking maximizing business growth and expansion.
- Ensure employees have the tools they need to perform their jobs optimally.
- Interview job applicants and manage the training of new hires with respective managers.
- Schedule and or review direct report time off requests and ensure all office functions are staffed appropriately.
- Manage employee annual evaluations of direct reports and assist managers as needed. In addition, recommend annual merit pools as defined in the employee policy handbook.
- Develop and execute a business plan that aligns with organizational objective related to staffing, employee development, customer service/satisfaction, service delivery, quality, revenue enhancement, expense control, budgeting, regulatory compliance, and facilities management.
- Oversee the different clinical and operational areas of the Clinic maximizing productivity, staffing, and efficiency. Financial
- Work with the Billing and Central Business Office Manager to ensure front desk and billing staff collect all co-pays, deductibles, and outstanding balances prior to patients being seen.
- Understand the practice EMR and business and financial systems to ensure they are working optimally for scheduling, billing, and reporting.
- Run periodic reports on the practice management system to gauge how the practice is performing.
- Work with physician CEO on drug pricing and reimbursement using the 3rd party tools that the practice has.
- Provide end-of-the-month reports on the practice to share with physician partners.
- Purchase the necessary capital and equipment for the practice needs.
- Function as the liaison with outsourcing vendors, suppliers, legal and CPA accounting firm.
- Assist with any problem situations that may arise in the practice.
- Remain accessible for staff during the workday.
- Ensure quality patient care is received, and all related issues are addressed as needed
- Coordinate with providers as needed regarding staffing or practice concerns.
Additional Responsibilities:
- Collaborate with all vendors and suppliers in professional manner.
- Delegate and manage workload of staff.
- Special projects as needed.
- Maintain a work schedule that meets the needs of the practice.
- Coordinate office service and repairs as needed.
- Ensure that the “clean room” along with the Manager of the Infusion Center is running optimally and in compliance.
- Work with the clinical research department on studies as needed.
Experience:
- Prior experience as a Controller with strong financial and operational experience is required to be considered.
Prior work experience in healthcare is a plus.
Education :
- CPA and or MBA is required with 8+ years of experience.
