This role is responsible for ensuring smooth daily operations, high-quality patient experiences, strong staff performance, and clear communication between the office and executive leadership. The manager must maintain alignment with the company’s mission, uphold core values, and drive results in both team culture and patient satisfaction.
Key Responsibilities:
1. Daily Operations Oversight Ensure proper opening/closing procedures are followed Monitor staff clock-ins, breaks, and shift transitions using Sling Ensure office cleanliness, equipment functionality, and general readiness throughout the day 2. Patient Experience Maintain a warm, organized, and efficient front-desk and intake process Handle escalated patient concerns professionally and swiftly Support tech and doctor flow to ensure timeliness of exams 3. Staffing & Scheduling Manage the daily staff schedule and proactively identify coverage gaps Communicate with upper management if backup coverage or floaters are needed Monitor lunch coverage and ensure doctor flow is not disrupted 4. Communication Provide daily check-ins to the executive team (text or email) Attend weekly managers’ meetings prepared with updates and key feedback Escalate unresolved patient or staff issues to upper management within 24 hours 5. Performance Management Hold team accountable to job duties and expectations Provide real-time coaching and support to underperforming team members Recognize and highlight staff wins and positive patient interactions 6. Operational Reporting Track and report daily metrics (no-shows, recalls, appointment counts) Monitor discount logs and submit any unusual or questionable adjustments Confirm day sheets are accurate and submitted to billing/admin leads daily 7. Culture & Morale Foster a supportive, efficient, and fun work environment Lead by example in communication, professionalism, and tone Ensure all team members feel heard, appreciated, and challenged
