Primary Purpose of Position:

The Dental Practice & Health Policy Coordinator is responsible for providing support to member dental practices by responding to inquiries, coordinating resources, assisting with regulatory compliance, supporting health policy initiatives, and ensuring that members have access to the tools and information they need to effectively manage their practices. The ideal candidate will have a strong interest in dental practice management and health policy, excellent organizational skills, and a desire to grow within the association. This position reports to the Director of Advocacy & Health Affairs.

Primary Responsibilities:

Member Assistance Serve as a key point of contact for member dental practices seeking support related to health policy, regulatory compliance, practice management, and legal inquiries addressing their inquiries, or routing to the appropriate team members or resources. Provide basic guidance on frequent practice management issues, including scheduling, billing, and patient communication. Assist in maintaining and updating member records and databases. Resource Coordination Assist with development and maintenance of networks including relevant state agencies, American Dental Association (ADA), third party payers, legal services, and other subject area experts. Help organize and distribute educational materials, compliance checklists, and other resources to members. Assist in coordinating webinars, workshops, and other educational events, including registration, coordination, and post-event follow-up. Support the development and maintenance of an online resource library for members. Attend ADA Dental Insurance and Coding meetings. Administrative Support Assist councils, committees, and coalitions with scheduling and organizing meetings, including preparing agendas and taking minutes. Manage correspondence with members, vendors, and other stakeholders, ensuring timely and professional communication. Support the Director in tracking and responding to legislative and regulatory changes impacting dental practices. Assist the Director with managing schedules, preparing documents, and coordinating communications with members and stakeholders. Prepare materials and presentations for advocacy initiatives, including reports, briefs, and talking points. Perform general administrative duties, such as data entry, filing, and document preparation. Compliance and Regulatory Assistance Provide members with basic information on state and federal regulations affecting dental practices. Support the Director in preparing and updating compliance materials and tools for member use. Track and report on legislative developments that impact dental industry. Data and Reporting Collect and organize data related to member inquiries, practice challenges, legislative updates, and trends. Prepare reports and summaries for internal use to inform program development, and for communicating with members about advocacy efforts. Team Collaboration Collaborate with other departments within the association to ensure that member needs are met, particularly in the areas related to health policy and advocacy. Participate in team meetings and contribute to brainstorming and problem-solving sessions. Ability to work a flexible schedule. Perform additional duties as assigned. Qualifications The items below are representative of the knowledge, skills, abilities, and experience required or preferred. This position requires the ability to effectively establish and maintain cooperative working relationships within a diverse multicultural environment. Knowledge & Skills Bachelor’s degree in healthcare administration, business administration, political science, public policy, or a related field; or equivalent experience. 2-3 years of experience in an administrative or support role, preferably within an association, healthcare/dental setting, or regulatory/political environment. Basic understanding of dental practice operations and healthcare regulations is a plus. Knowledge of legislative processes and regulatory compliance. Familiarity with practice management software and electronic health records (EHR) systems is a plus. Strong organizational skills and attention to detail. Excellent communication skills, both written and verbal. Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Experience with association management, event management and project management software are a plus. Ability to manage multiple tasks and prioritize effectively. $55,000.00 – $65,000.00 per year
