PM Job Description Purpose:
Under the general supervision of the Associate Executive Director and/or the Assistant Director of Ambulatory Care services. Provides assistance in the administration and supervision of activities and services in the Ambulatory care setting. Responsible for the oversight of Ambulatory Care services as assigned by managing the technical, managerial, ancillary, clerical and support staff of these departments.
Specific Duties and Responsibilities:
The Assistant Director (Hospitals) Level III is charged with and responsible for: Responsible the day to day operations of assigned outpatient clinics
Monitors flows and make changes as appropriate
Leads & collaborate on service line optimization assessments and implementation
Coordinates schedules, staffing and coverage
Signs off on all front desk direct report time sheets and SRs
Creates and adjusts schedule of front desk staff as needed
Addresses patient complaints, works with patient relations as needed
Facilitates communication between clinical and non-clinical staff as necessary
Monitors performance and supervises the support staff
Investigates issues or concerns at direction of Ambulatory Care Leadership and reports back findings in a timely and efficient manner
Facilitates implementation of new processes/standard work as instructed by Ambulatory Care Leadership, monitors adherence of staff
Receives sick calls from staff, adjusts schedule, and notifies appropriate parties as needed
Completes evaluations for front desk staff as specified by HR
Provides cross-coverage oversight of other clinic areas under Ambulatory Care as needed and directed
Responsible for referral work queues and timely scheduling
Liaison between vendors and bio-med (replacement or repairs of machines).
Actively participates in departmental meetings/conferences, ensures that appropriate information is related to clinic personnel.
Coordinates and leads all administrative aspects of practice and site operations.
Performs other duties as needed
Minimum Qualifications
Master’s degree from an accredited college or university with a specialization in hospital administration, health care administration, public health or a related discipline; or
Baccalaureate degree from an accredited college or university in disciplines, as described in “1” above, and one (1) year of administrative experience; or
An equivalent combination of training, college education and experience in related fields.
Department Preferences
Competence in EPACES, insurance portals and EPIC functions is necessary.
Exceptional customer service skills required.
Good organizational and time management skills required.
Administrative experience or an equivalent combination of training, educational background and experience in related fields and educational disciplines
Overall knowledge of the fundamental of hospital organization, administration, standard regulations and laws applicable to hospital operations
Multi-tasker, detail oriented with excellent follow up skills and a proven ability to exercise initiative and judgement
