Our focus is supporting individuals by ways of residential housing, mental health and clinical services, and immersing our participants in community engagement. Working closely with the Office for People with Developmental Disabilities and the Office of Mental Health, we support 27 housing locations and 3 administrative buildings. About the Role We are looking for a proactive employee to provide administrative support to our health clinic.
Responsibilities include:
Develop, update, and maintain databases, as needed Support programs with maintaining multiple organized data systems and electronic medical record as assigned. Track Clinical Plan of Cares (POC) for each clinician and follow up with clinicians for timely completion, requiring strong Excel and organizational skills. Send POCs to participant’s primary care physician for signature and follow up with office as necessary to receive back before POC expiration. Monitor electronic health record documentation, taking responsibility for scanning and labeling documents within the EMR. Obtain scripts from physicians prior to evaluations, review for completeness and scan into electronic health record. Track physicians to ensure they are not excluded by Medicare or Medicaid and that licenses remain current by maintaining and updating referring physician’s spreadsheet monthly. Monitor participant clinical cancellations and assist with rescheduling as needed. Track billing reconciliation reports daily and ensure notes/billing are finalized in a timely manner and follow up with clinician or supervisor as needed Distribute and track annual intake update forms and participant satisfaction surveys. Assist supervisor with tracking and preparing outcomes for various reports (Onondaga County, Medical Director annual report, etc) Follow up calls with physicians, participants/responsible parties and Care Managers. Maintain any certification files, fire drill records, regulation books and policy manuals. Forward new policies, regulations to staff as directed by supervisor. Develop, update and maintain multiple databases as directed. Complete laundry for daily clinic use and assist with cleaning of clinic equipment as needed. Conduct self in a professional manner. Maintain confidentiality of participant information. Provide person-centered, quality services. Education & Experience High school diploma/GED required. Administrative Assistant training and experience preferred. Must be able to independently perform standard administrative assistant duties. Conditions of Employment Must possess valid New York State driver’s license and transportation necessary to meet program needs. Must be able to lift 50 pounds.
