We are seeking a highly organized and detail-oriented Administrative Assistant / Site Coordinator to oversee the day-to-day operations of our small event venue. This role is ideal for someone who thrives on managing logistics, communicating with clients, and ensuring the venue is prepped and polished from start to finish for every event. The ideal candidate will manage the venue calendar, coordinate event details including floor plans and setup, handle email correspondence, and ensure the venue is maintained in a clean, welcoming condition. This person will be the main point of contact for clients, vendors, and staff during events, ensuring smooth execution and a high standard of service.
Key Responsibilities:
Manage the event calendar and bookings, ensuring accurate scheduling and timely follow-ups Handle all incoming and outgoing venue-related emails with professionalism and promptness Create and review floor plans and event layouts in collaboration with clients Oversee venue cleanliness and readiness before and after each event Serve as the on-site point of contact during events, coordinating with vendors and staff as needed Maintain detailed event files and communicate updates with the broader team Support any administrative tasks related to venue operations
Schedule:
Standard hours are Monday-Friday, 10:00 AM – 2:00 PM , with flexibility required for occasional weekends and evening events Free meals provided during shifts
Qualifications:
Strong organizational and multitasking skills Excellent written and verbal communication Professional, client-focused demeanor Proficiency with email, basic floor plan tools, and calendar management systems Ability to work independently and adapt to changing schedules or needs Prior experience in the hospitality industry is highly preferred—particularly in event/catering coordination, hotel management, or venue operations
