Medical Office Coordinator 2.0 2.0 out of 5 stars 1650 Skylyn Drive, Spartanburg, SC 29307 Overview We are seeking a motivated, skilled, dedicated Medical Office Coordinator with a minimum of 5 years of supervisory experience in a medical office setting, Pain Management experience preferred. Responsible for overseeing day to day front office operations, managing support staff, and ensuring a high standard of patient service and clinical efficiency. The ideal candidate is a goal-oriented, confident leader who thrives in a fast-paced clinical environment, demonstrates operational expertise, and is committed to improving the patient experience through team engagement and continuous process improvement.
Key Responsibilities:
Increasing Patient Census:
Developing, implementing, and tracking strategies to attract new patients, such as marketing initiatives, referral programs, and community engagement. Enhancing the patient experience to encourage patient retention and positive word-of-mouth referrals. Utilizing technology to optimize online presence and engage with patients
Day-to-Day Operations:
Overseeing all administrative and clinical functions. Managing patient appointment scheduling and patient flow. Managing staff schedules to ensure adequate coverage Handling patient inquiries and complaints. Ensuring smooth opening and closing of the office. Maintaining equipment and supplies
Supervising Staff:
Leading, managing, training, and evaluating administrative and clinical staff. Creating work schedules and ensuring adequate staffing levels. Fostering a positive work environment and promoting teamwork. Addressing staff concerns and mediating conflicts.
Streamlining Processes:
Establishing and implementing effective workplace procedures. Optimizing workflows to improve efficiency and productivity. Leveraging technology solutions, such as electronic health records (EHR) systems and patient reminder systems. Improving patient intake and check-in/check-out processes.
Finance:
Oversee finances for the medical office Oversee billing processes, insurance verification, referrals, and authorization procedures.
Compliance and Regulations:
Ensuring compliance with all relevant healthcare laws and regulations (e.g., HIPAA). Maintaining medical records and ensuring data security
Essential Qualifications & Skills:
Proven experience in a management or leadership role, preferably within the healthcare industry. Strong understanding of healthcare operations and administration. Excellent leadership, communication, and interpersonal skills. Proficiency in practice management software and relevant technology. Ability to think strategically and make data-driven decisions. Problem-solving and conflict resolution skills. Detail-oriented and highly organized. Qualifications Minimum of 5 years of experience in a medical office setting is required. Minimum of 5 years of supervised experience in a leadership or supervisory role is required. Proven experience in healthcare administration, preferably within a pain management or clinical setting. Strong knowledge of healthcare regulations, billing practices, and quality assurance processes. Excellent leadership, communication, and organizational skills. Proficiency in Electronic Health Records (EHR) and practice management software. Demonstrated ability to manage and coordinate administrative functions effectively. Strong problem-solving skills and attention to detail. Proficiency in office management practices and supervisory principles is advantageous.
