Responsibilities:

Position purpose:
Provides support to the Engaging Healthy Congregations and Compelling Preaching grant initiatives at Belmont University. This support includes composing effective communications, screening of information, assisting in planning events, receiving guests, and working independently on assigned grant related activities assigned by the Director. This includes utilization of social media, marketing and mailing, speaker travel arrangements, facilities coordination, data collection and reporting This position is supported by grant funds. Continuation of this position is contingent on funding.

Essential Functions:

1. Performs administrative and office support activities; support grant director, professionals, or ad hoc teams; perform word processing; create spreadsheets and presentations; files and handles basic correspondence. 2.Oversees and maintains operational budget for the grant program in an efficient and cost-effective manner. Provides recommendations and guidance on accounts (i.e.: restricted accounts). Assists in development of long-term budget requests and general operating budgets, assisting the Directors in resource allocation. Purchases resources to support the grant as approved within the budget. Creates and maintains fiscal reports for Directors and the funder. 3.Assists with grant program reporting requirements. 4.Plans and coordinates meetings for grant director from conception to final meeting. Coordinates caterer/food service. Assists in developing agenda and other needed materials. Notifies appropriate individuals of scheduled meetings. 5.Recruits, hires, trains, and supervises office student workers. Reviews and approves monthly timesheets for student workers. Collects and processes payroll forms for students receiving one-time payment for services. 6.Supervises and maintains procedures for various office functions such as: audio/visual equipment reservations, bulletin boards, lost and found, ‘will call’ items, and specific projects geared toward employee relations. Orders and maintains inventory of all general office supplies and equipment. 7. Performs clerical and/or secretarial support activities such as reviewing and/or acting on incoming mail and phone calls. Returns calls and answers mail on behalf of the Director. Investigates when necessary and provides details to the Director on items requiring follow-up/action. Greets office visitors and provides general information in response to inquiries. 8.
