Monday-Friday, Full Time Salary Exempt Purpose:

The operations manager is accountable for all operational processes, including but not limited to daily operations of patient scheduling, referral management, billing processes, facility supervision, collaboration with clinical staff, sales, and leadership teams, financial performance, staff management, and organizational efficiency. This includes significant emphasis on all medical billing functions.

Expectations:

1. Regular, reliable, and predictable attendance. 2. Develop, implement, and adhere to the organization’s policies and procedures. 3. Ability to adequately accommodate needs if vacancies arise in direct report positions.

Responsibilities:

1. Assist with the financial management of the organization to help maintain a state of profitability and continued growth of the organization and its affiliates. 2. Responsible for accounts receivable and payable control. 3. Perform billing, coding, posting, collection, customer service, and other RCM functions to ensure timely reimbursement and maximize cash flow. 4. Negotiate payer contracts with insurance companies and make certain credentialling opportunities are optimized and compliant. 5. Develop and implement standard operating procedures (SOP) to help the organization flow with ongoing evaluation of performance of workflows and staff for optimum efficiencies and process improvement. 6. Maintain extensive knowledge of EMR and other software programs used in the organization, its affiliates, and partners, and be able to train staff during onboarding and with updates to software or workflows. 7. Maintain paperless document system and work with EMR system for operational excellence by applying features to workflows. 8. Be able to pull reporting from multiple systems and trend for fundamental metrics including but not limited to organizational KPIs, budgeting, and RCM functions. 9. Coordinate care among multiple teams including in-house staff, outsourced teams, medical director, vendors, and any other affiliates to guarantee maximized outcomes. 10. Provide exceptional patient care, ensuring therapy outcomes are not only compliant but also maximized, and that patient experiences are held to a high standard. 11. Collaborate and strategize with sales team of other medical practices across multiple states to help grow organization and onboard key referral sources. Visit key accounts as deemed necessary by leadership. 12. Ensure compliance with all federal, state, and local regulations related to the operation of the organization including but not limited to HIPAA, CMS, AASM, PCI, and

OSHA. 13.

Maintain emergency preparedness and workplace safety. 14. Cultivate, contribute to, and maintain a positive and encouraging company culture working with staff strengths where the team is empowered to thrive. 15. Must have strong ability to problem solve issues among staff, working closely with HR as appropriate, handle patient escalations, and consult leadership when applicable. 16. Other duties as assigned and a willingness to assist in other roles and locations occasionally/as needed. This could require duties outside of this role.

Qualifications:

3+ years of prior medical practice management. Extensive knowledge in billing and collection in practice. Prior knowledge of credentialing payer relationships is necessary. System implementation experience strongly preferred. Outstanding communication and presentation skills are required. Must demonstrate leadership ability, confidence, and a professional demeanor. Excellent analytical, reasoning, and problem-solving skills needed. Willingness to work a flexible schedule and travel as deemed necessary. Courteous customer service skills are essential. System proficiency in multiple medical software systems is critical. Must love helping people. High level of attention to detail is essential. Must have a positive influence on all employees. Able to manage multiple priorities and close the loop when interrupted, even if multiple instances. Strong leadership experience with the ability to lead and motivate others to adopt the change. Ability to facilitate discussions to resolve conflicting processes, content, opinions. Able to demonstrate a high degree of passion and energy whilst maintaining a positive outlook.

Requirements:

While performing the duties of this job, the employee is regularly required to sit, use hands to finger, handle or feel objects, tools, or controls; reach with hands and arms, and talk and hear. The employee is required to sit and stand. Specific vision abilities required by this job include distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus. Required to lift up to 50 pounds at one time.
