JOB SUMMARY/ESSENTIAL JOB FUNCTIONS

The Clinic Administrative Manager is responsible for the overall administration, coordination, and optimization of clinical operations for the Special Needs, AEGD, and University Faculty Practice clinics at the UTHSC College of Dentistry. This position ensures high-quality patient care delivery, operational efficiency, regulatory compliance, and seamless integration across providers, staff, and support services. Responsibilities
Serves as the primary point of contact for administrative operations across the Special Needs, AEGD, and University Faculty Practice clinics, under the direction of the Director of Clinical Operations.
Oversees daily patient scheduling systems to ensure optimal provider utilization and patient access.
Ensures all clinical support areas (e.g., sterilization, storage, patient waiting areas) are functioning efficiently in collaboration with support staff; ensures coverage of front desk and support roles by coordinating staff scheduling and cross-training
Monitors patient check-in/check-out processes, ensuring efficiency and alignment with customer service standards.
Troubleshoot day-to-day operational challenges, working closely with the front office, faculty, and staff.
Prepares internal reports and assists with coordinating clinic meetings, agendas, and follow-up actions.
Provides basic administrative training for systems such as scheduling software, email communications, and documentation platforms.
Assists with planning and coordination of community events, CE courses, or outreach initiatives hosted by the clinics.
Maintain and collaborate with the Director of Clinical Operations to update clinic operations manuals, documentation protocols, and policy reference materials.
Ensure clinic operations adhere to institutional policies, HIPAA, OSHA, and other relevant healthcare compliance requirements.
Performs other duties as assigned.

EXPERIENCE

Two (2) years of progressively responsible administrative experience in a clinical, healthcare, academic, or nonprofit setting. This experience should include direct responsibility for coordinating daily operations, managing schedules, and facilitating communication among internal stakeholders.

KNOWLEDGE, SKILLS, AND ABILITIES

Knowledge of dental or healthcare clinic operations, including patient scheduling systems, front office workflows, and coordination of provider activity.
Ability to manage daily administrative processes across multiple clinics with varying patient populations and operational needs.
Ability to ensure compliance with HIPAA, OSHA, and institutional policies is essential, along with a strong understanding of documentation practices and quality control standards.
Skill utilizing administrative and scheduling software platforms such as D4W, EPIC, Banner, and Microsoft Office.
Ability of budget tracking and supply coordination, as well as demonstrating excellent communication skills across diverse teams of faculty, staff, residents, and patients.
Strong organizational abilities and independent problem-solving skills to navigate a fast-paced clinic environment and support process improvements.
Ability to work independently and meet deadlines.
