The Clinical Operations Manager organizes and coordinates clinical office administration and procedures ensuring organizational effectiveness, efficiency and safety. The Clinical Operations Manager is responsible for developing communication protocols, streamlining administrative procedures, inventory control, staff accountability and supervision, and task delegation.
Essential Functions:
Responsible for managing clinical office services by ensuring administrative operations and procedures are organized, correspondences are controlled, insurance verified, bank deposits made, medical records completed. Allocate tasks and assignments to subordinates and monitor their performance. Perform review and analysis of special projects and keep the management properly informed. Responsible for recruiting clinical administrative and support staff and providing orientation and training to employees. Responsible for management of employee timekeeping and corrections, PTO, and attendance. Ensure top performance of clinical staff by providing them with adequate coaching, counseling, and discipline. Responsible for ensuring clinical office financial objectives are met by adhering to budget, preparing monthly reports, planning the expenditures, and carrying out necessary corrections that may arise. Point person for maintenance, facility alarm, mailing, shipping, supplies, equipment, bills and errands. Partner with HR to maintain company policies, as necessary. Ensure organized clinical operations and patient encounters. Coordinate with IT department on all office equipment. Participate actively in the planning and execution of company events. Responsible for developing standards and promoting activities that enhance operational procedures. Ensure security, integrity, and confidentiality of data. Coordinate schedules, appointments, and bookings. Handle patient inquiries and complaints. Responsible for all employees in clinical area. Responsible for all logs (Versed, lock box, autoclave, crash cart, safety, nursing observation, temp, etc. ) Responsible for ordering all equipment, medications and supplies for the medical office. Fire Safety Officer and OSHA officer. Maintain compliance. Responsible for ordering, preparing and administering FLU shots, TB skin tests, hepatitis vaccines, as well as office sinus cocktails for clinic. Maintain a safe and secure working environment and that HIPAA and OSHA protocols are followed. Updated Infection logs and clinic safety sheets. Foster constructive relationships as a member of the patient care team by helping other team members as needed. Keeps equipment operating by following operating instructions, troubleshooting breakdowns, maintaining supplies, performing preventive maintenance, and calling for repairs. Updates job knowledge by participating in educational opportunities and training. Serves and protects the practice by adhering to professional standards, company policies and procedures; and federal, state, and local regulations and requirements. Enhances practice reputation by accepting ownership for accomplishing new and different requests and exploring opportunities to add value to job accomplishments. Works amicably with others. Other duties and responsibilities as assigned.

Basic Qualifications:
Education:
Education level required to receive and maintain applicable licensure in State where located. Unrestricted State license in good standing and relevant education and training Current BLS Certification required
Experience:
Five years of clinical office management experience, preferably in pain management. Proven office management, administrative or assistant experience. About the
