Job Summary Are you highly organized, detail-oriented, and passionate about supporting healthcare and education? The Department of Internal Medicine is seeking a Clinical Site Coordinator to help manage operations across five dynamic internal medicine and sub-specialty clinics in addition to our inpatient locations. This vital role ensures smooth clinic flow while supporting our faculty, residents, and trainees in delivering exceptional patient care and medical education.
Key Responsibilities:
Coordinate and manage faculty and resident schedules across multiple clinics.
Ensure a balanced focus on clinical care, education, and administrative responsibilities.
Process and document leave requests in alignment with academic policies.
Develop and maintain daily and weekly patient and provider schedules.
Collaborate with the Hospitalist Division to organize and update call schedules.
Track resident attendance and manage schedule adjustments for academic activities.
Ensure timely completion of training documentation and compliance requirements.
Assist with credentialing and privileging for new faculty and trainees.
Monitor administrative queues and support the completion of medical records.
Facilitate communication between clinical and academic teams.
Work closely with leadership to integrate curriculum needs into clinic operations.
Provide backup support to the practice manager and address operational concerns.
Attend weekly faculty meetings and support clinic continuity and efficiency.
Perform additional duties as assigned. Knowledge, Skills and Abilities Knowledge of medical scheduling systems and practice management software
Knowledge of academic medicine and Graduate Medical Education (GME) operations, including faculty and resident scheduling.
Knowledge of HIPAA, FERPA, and institutional regulations and policies
Skilled in data management, tracking, and reporting.
Skilled in verbal and written communication.
Skilled in handling multiple, concurrent responsibilities.
Skilled in conflict resolution, and customer service
Ability to identify and resolve faculty and resident scheduling conflicts
Ability to adapt to changing priorities and work effectively under pressure
Ability to work independently and within a dynamic team
Ability to work within both higher education and healthcare systems, and navigate those complex structures.
Ability to conduct oneself professionally
Ability to remain confidential with sensitive information.
Ability to travel regularly between clinical and academic sites Required Qualifications High School Diploma or equivalent
Minimum 3 total years across fields related to healthcare administration, medical office coordination, scheduling, clerical, or similar
Ability to commute between multiple outpatient and inpatient facilities throughout the Tri-Cities on a weekly basis. Preferred Qualifications High School Diploma or equivalent
Minimum 3 total years across fields related to healthcare administration, medical office coordination, scheduling, clerical, or similar
1+ year in higher education or medical education
Ability to commute between multiple outpatient and inpatient facilities throughout the Tri-Cities on a weekly basis. Salary $41,595.01
